Job Summary

We are seeking a highly skilled and organized Administrative Coordinator to join our team at the Yale School of Medicine. The successful candidate will provide administrative support to the Neurology Education Program Manager and the Neurology Neuromuscular section faculty.

Key Responsibilities
  • Coordinate administrative, program, and office activities, including establishing and implementing office procedures and systems.
  • Oversee and instruct support staff, prepare materials for grants, contracts, and budgets, and monitor expenditures.
  • Provide editorial support for a journal/publication, proofread and edit material for grammatical and factual accuracy, and track copy through various editing and production stages.
  • Determine administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences, assemble and arrange for necessary items, and compile, synthesize, and manipulate data.
  • Greets visitors, answers and screens telephone calls, assesses the nature of business, responds to requests for information, and provides assistance.
  • Formats, keyboards, proofreads, and edits correspondence, reports, manuscripts, grants, and other material, assembles attachments and corresponding material, and reviews outgoing material for completeness, dates, and signatures.
  • Coordinates travel arrangements, schedules and coordinates meetings and appointments, orders and maintains inventory of supplies, takes minutes or dictation, and performs additional functions incidental to office activities.
Requirements
  • 6 years of related work experience, 4 of them in the same job family at the next lower level, and high school level education; or 4 years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.
  • Demonstrated excellence in providing high-quality administrative support to faculty and/or staff, including strong problem-solving and organizational skills.
  • Proven excellent communication and interpersonal skills and ability to interface with many others within the organization and externally.
  • Demonstrated computer skills, including a minimum of intermediate proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and large information systems.
  • Ability to manage a broad variety of tasks and shifting priorities in a changing environment with careful attention to detail and demonstrated initiative.
  • Excellent time and attendance.
Preferred Qualifications
  • Proven experience with Residency and Fellowship programs.
  • Proven experience working with national regulatory agencies and meeting standards of compliance in an academic setting.
Working Conditions

This is a hybrid position working a minimum of three days on campus. Candidates must be flexible to work more days on campus as needed.
