Position Overview
We are seeking an Administrative Support Specialist to join our dynamic team. This role is pivotal in supporting the Estimating Department and involves a variety of administrative tasks aimed at facilitating our bidding processes.

Key Responsibilities

  • Assist in the administration of the Estimating Department's initiatives.
  • Complete necessary prequalification documents for contractors and owners.
  • Prepare essential bid documentation, including bid forms and proposal packages, ensuring all signatures are obtained.
  • Review project specifications to identify bidding requirements.
  • Organize bid folders, maintain a bid calendar, and manage invitations to bid.
  • Receive, print, file, and distribute construction documents efficiently.
  • Prepare invitations to bid, including comprehensive project descriptions.
  • Coordinate and update subcontractor bid lists.
  • Foster and maintain relationships with clients, subcontractors, and suppliers.
  • Attend Pre-Bid and Bid Opening meetings as necessary.
  • Develop project reports and maintain relevant data.
  • Manage supply inventory for departmental equipment.
  • Perform additional duties as required.

Qualifications and Skills

  • Exceptional organizational and communication skills are essential.
  • Ability to thrive in a collaborative team environment.
  • Proficient computer skills, particularly in Outlook, Word, and Excel.
  • Basic understanding of the construction industry is preferred.
  • Strong interpersonal skills to effectively engage with various stakeholders.

Work Environment

  • Ability to multitask effectively in a fast-paced setting.
  • Maintain positive working relationships with clients, subcontractors, and suppliers.
