GENERAL JOB OVERVIEW

The Operations Specialist plays a crucial role in managing a variety of daily operational tasks, including account setup, ongoing maintenance, transaction processing, billing, and quarterly reporting, as well as addressing various client and advisor inquiries. This position is essential in supporting the Investment Operations team to effectively fulfill the front, middle, and back-office requirements of the organization. The Operations Specialist collaborates with team members and the Operations Team Leader to accomplish a diverse range of responsibilities aimed at achieving both immediate and long-term objectives.

KEY RESPONSIBILITIES

  • Adapt to a dynamic work environment where roles and responsibilities evolve with the introduction of new processes and procedures.
  • Conduct setup and maintenance tasks for requests related to products and services managed by the department.
  • Implement standard, scheduled transactions and processes in accordance with established procedures, with potential specialization in specific product or functional areas.
  • Exhibit proficiency in CRM applications and related workflows.
  • Provide thorough responses and documentation for inquiries and ad hoc requests.
  • Communicate effectively with advisors and other operational teams to resolve account discrepancies.
  • Engage with custodians as needed to address discrepancies.
  • Reconcile reports, manage exceptions, and validate transactions, ensuring daily quality control and monitoring error rates.
  • Promote and assist in the implementation of best practices regarding policies, processes, procedures, and governance elements that influence operational risk across the organization.
  • Perform additional duties as assigned, including participation in projects as required.

QUALIFICATIONS

  • Bachelor's degree or equivalent professional experience.
  • 1-3 years of experience in securities operations.
  • Familiarity with equity securities, fixed income securities, and various investment vehicles is advantageous.
  • Proficient in Microsoft Office Suite, including Excel, Outlook, Word, Adobe, and PowerPoint.
