Position Summary

This role serves as the primary administrative function in most of Park Lawn's individual business locations, responsible for executing a variety of administrative and accounting tasks to ensure smooth operations and exceed client family expectations.

Key Responsibilities

  • Manage incoming calls, providing information or directing calls to the appropriate personnel, and placing outgoing calls for the business.
  • Welcome and assist all visitors and their guests.
  • Handle all accounting tasks (AP/AR), inventory management, and account reconciliation.
  • Update the timekeeping system as employees report missed punches.
  • Prepare daily deposit reports and perform reconciliations.
  • Process and categorize all business invoices for payment.
  • Investigate invoices and resolve any discrepancies.
  • Receive and document payments from client families.
  • Schedule appointments for the business.
  • Draft and type correspondence as necessary.
  • Compile and report statistical data as required by the business.
  • Accurately input data into the operating system in a timely manner.
  • Assist client families with necessary paperwork and appointment scheduling.
  • Perform scanning, copying, and printing tasks as needed.
  • Maintain and update files and related systems for the business.
  • Act as the business timekeeper and maintain local employee records.
  • Coordinate and manage office supplies and equipment.
  • Provide backup support in other administrative functions as needed.
  • Complete assigned tasks and responsibilities independently, without excessive supervision.
  • Engage in special projects and other duties as assigned.

Required Skills and Qualifications

  • High school diploma or equivalent combination of education and experience preferred.
  • A minimum of two years of administrative or general accounting experience, or demonstrated knowledge and skills to perform all job tasks.
  • Valid state-issued driver's license in good standing with an acceptable driving record.

Additional Qualifications

  • Fluency in reading, writing, and speaking English; bilingual skills are a plus.
  • High level of overall computer proficiency.
  • Proficient in local and virtual data management tools (Internet, Dropbox, Microsoft file management structure).
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with multi-line phone systems and general office equipment.
  • Effective and professional communication skills, particularly verbal skills, with the ability to resolve issues professionally.
  • Ability to empathize with client families and demonstrate patience in emotionally charged situations.
  • Maintain a positive attitude and work environment through organization, willingness to learn, and effective communication.
  • Ability to manage multiple projects simultaneously, prioritize tasks, and exercise sound judgment.
  • Attention to detail and follow-through.

Work Environment and Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Most duties are performed in an indoor office setting.
  • Equipment used includes, but is not limited to, computer, fax machine, copier, merchant terminal, and multi-line phone system.
  • Employees in this role are regularly required to climb, sit, stand, bend, kneel, and frequently lift up to 25 pounds.
  • This position may also require reaching, pushing, and pulling.
  • Employees may be exposed to chemicals and/or bloodborne pathogens, with exposure risk considered low.
  • Overtime may be necessary or required.

Travel Requirements

  • This position may require up to 10 percent out-of-area and overnight travel, primarily local during business hours.
