Responsibilities

As a Counter Parts Specialist, you will be responsible for delivering exceptional customer service while managing our parts operations.

The estimated salary for this position is $60,000 - $70,000 per year, depending on experience.

Key Responsibilities:

  • Assist customers in selecting required parts, providing expert advice and guidance.
  • Inform customers about companion part requirements and promotions, increasing sales opportunities.
  • Answer phone calls, providing price quotes and product information to customers.
  • Review body shop estimates to ensure accurate part selection and pricing.
  • Provide high-level service to internal and external customers, ensuring complete satisfaction.
  • Pull and fill orders from stock, maintaining a clean and organized workspace.
  • Notify parts manager of out-of-stock parts or materials requiring immediate attention.
  • Locate out-of-stock parts from external sources and submit emergency orders when necessary.
  • Inform service advisors and customers when special-ordered parts arrive.
  • Deliver parts to the body shop, ensuring timely completion of repairs.
  • Follow up on back-ordered parts, resolving issues promptly.
  • Verify will-call and back-order files weekly, returning items to vendors or stocking them as needed.
  • Replenish assigned inventory daily, maintaining optimal levels.
  • Assist outside sales representatives with their orders, enhancing sales efforts.
  • Billing and payment processing: Ensure all internal requests for parts are billed on service repair orders and receive payment from retail customers or obtain credit authorization.
  • Customer communication: Ensure that all charge sales are signed by the customer and that all customers receive their copy of the invoice.
  • Return policy: Issue credit for parts returned, verifying original invoices or numbers for accurate pricing.
  • Tool management: Issue and track requested shop tools to technicians.
  • Record-keeping: Maintain orderly records of repair orders, invoices, insurance estimates, and special-order parts.
  • Order setup: Set up orders for daily shipment, delivery, or pick-up.
  • Sales outreach: Solicit assigned accounts by phone.
  • Work environment: Keep front and rear counter areas clean and uncluttered, and clean computer terminals and printers daily.
  • Professional development: Participate in all training programs available and stay current on new products and updates.
  • Lost sales tracking: Collaborate with the parts manager to maintain a lost sales tracking program.
