Key Responsibilities:

  • Coordinate and schedule interviews for candidates and interview teams using our calendaring system.
  • Schedule debrief conversations for the recruiter and interview team to collect interview feedback.
  • Serve as the primary point of contact for candidates throughout the interview process, addressing any logistical questions or concerns.
  • Arrange travel arrangements, including flights, hotel accommodations, and transportation, for on-site interviews.
  • Process and submit expense reports for accounts payable, ensuring timely payment for flights, hotel, transportation, and candidate reimbursements.
  • Guide candidates on how to submit out-of-pocket expenses, such as meals and transportation.
  • Ensure clear communication with candidates, recruiters, hiring managers, and interview teams regarding all interviews and associated changes or updates.
  • Escalate declined interviews and scheduling conflicts to the recruiter and hiring manager for resolution.
  • Manage your individual scheduling capacity and know when to escalate to the team and supervisor for assistance.
  • Respond promptly and professionally to inquiries from candidates, recruiters, hiring managers, and interview teams.

Requirements:

  • High School Diploma or equivalent.
  • Prior experience in scheduling, administration, or coordination.
  • Strong communication and customer service skills.
  • Quick problem-solving skills and ability to adapt to new processes.
  • Excellent time management and prioritization skills.
  • High degree of accuracy and attention to detail.
