About the Role

The University of Iowa is seeking a highly skilled Marketing and Communication Administration Specialist to join their team. This position will provide critical administrative and operational support for various units within the Office of Strategic Communication (OSC), the university's central marketing and communication team.

Key Responsibilities
  • Operational Support: Provide scheduling support for the AVP and OSC senior leadership, manage complex calendars, and respond to incoming calls and email for OSC.
  • Financial Responsibility: Prepare, record, and reconcile administrative and personnel-related expenses, initiate purchasing requests, and maintain inventory.
  • Event Planning and Meeting Support: Coordinate internal OSC monthly all-staff meetings, OSC-led campuswide meetings, and special OSC events.
  • Communication Management: Gather content, draft, and send weekly internal email to OSC staff, assist with creating handouts, PPT presentations, and leadership reports.
  • Information Management: Manage OSC SharePoint site, develop data management procedures, and maintain OSC listservs and campus-wide communicator list.
  • Human Resources Support: Support efforts to establish and maintain a healthy and productive workplace culture, assist with onboarding, and provide general assistance to new employees.
Requirements
  • Bachelor's degree or equivalent combination of education and experience.
  • 1-3 years of administration, program, and/or project experience.
  • Demonstrated competence in managing multiple schedules, resolving conflicts, and maintaining confidentiality.
  • Superior attention to detail, excellent customer service skills, and experience with planning and implementing events.
  • Extensive experience utilizing Microsoft Outlook, Teams, Word, Excel, PowerPoint, Visio, and web editing software.
Desirable Qualifications
  • Knowledge and experience with university policies and procedures, including working with university accounting policies and practices.
  • Experience with basic graphic design software, including Adobe, Canva, or Photoshop.
