Position Overview

The Lead Administrative Operations Specialist offers comprehensive, proactive administrative assistance to designated executives and board committees, executing complex projects in accordance with established protocols. This role also encompasses basic administrative support for additional investment personnel.

Key Responsibilities:

  • Facilitates meeting arrangements and calendar management with minimal oversight, demonstrating an understanding of meeting priorities and strategic importance.
  • Independently updates departmental information on both internal and external platforms.
  • Composes, prepares, and disseminates investment reporting documents to internal stakeholders, external parties, and committees with limited supervision.
  • Provides administrative assistance for board committees, including drafting agendas, preparing meeting materials, reviewing and editing presentations, and recording minutes; collaborates directly with committee chairs to ensure effective meeting preparation.
  • Distributes Investment Recommendations to relevant committees.
  • Possesses experience in event coordination and virtual meeting audiovisual technology.
  • Manages the Investment Data Email Inbox; organizes reports, estimates, statements, and K-1 documents within Investments and Finance files; forwards meeting requests and conference invitations to investment staff.

*This position supports remote work options (up to 4-5 days per week based on business requirements and leadership approval).*

Qualifications: High school diploma with 9 years of administrative experience, OR an associate's degree with 7 years of administrative experience, OR a bachelor's degree with 4 years of administrative experience.
