Position Overview

The University of Iowa is seeking applications for the role of Faculty Administrative Specialist. This role is designed to deliver extensive administrative assistance within the Faculty Affairs sector. The successful candidate will engage collaboratively with various academic and non-academic departments, job candidates, and hiring committees, ensuring smooth operations throughout the recruitment process. This position allows for a flexible work arrangement, including a combination of on-campus and remote work when appropriate.

Key Responsibilities
  • Facilitate Faculty Recruitment: Manage all logistical aspects of faculty recruitment, including the creation of job descriptions and advertisements, processing interview requests, and drafting job offers.
  • Administrative Coordination: Provide support to the Faculty Affairs Manager by organizing and electronically filing documents, assisting with annual review processes, and maintaining the organization of shared documents.
  • Event Coordination: Oversee logistics for in-person events such as job interviews and new faculty orientations, including venue access, catering arrangements, and calendar coordination.
  • Communication Management: Compose and disseminate logistical communications to departmental faculty, job candidates, and hiring committees.
  • Data Management: Utilize various platforms such as Microsoft Teams, OneDrive, and Salesforce for effective data tracking and management.

Qualifications

Education: A Bachelor’s Degree or equivalent combination of education and experience is required.

Required Skills:
  • 1-3 years of experience in office administration, demonstrating proficiency in relevant software applications.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication abilities.
  • Proven capability to manage multiple complex events or programs simultaneously.
  • Ability to foster positive relationships with diverse stakeholders.
  • Capacity to work independently as well as collaboratively within a team.
  • Physical ability to move and position items weighing up to 20 pounds.

Desired Skills:
  • Familiarity with university policies and procedures, particularly in financial and human resources.
  • Experience within an academic department.
  • Background in enhancing office operations.

Compensation: The salary range for this position is $46,045 to $61,393.
