Job Title: Service Office Administrator

At INNIO, we're committed to delivering sustainable, affordable, and reliable energy solutions. As a Service Office Administrator, you'll play a vital role in ensuring our office operations run smoothly while focusing on onboarding new team members.

Key Responsibilities:
  • Manage day-to-day administrative tasks, including answering calls, emails, and customer inquiries.
  • Organize service schedules, coordinate with the service team, and ensure timely communication with customers.
  • Handle incoming and outgoing mail, couriers, and deliveries.
  • Maintain office supplies and manage orders for the Service Department.
  • Schedule and coordinate meetings, appointments, and service-related events.
Onboarding (Service Department Focus):
  • Lead the onboarding process for new hires in the Service Department, ensuring they're equipped with the necessary tools, knowledge, and resources.
  • Prepare and distribute onboarding materials, including training schedules, service department policies, and procedures.
  • Collaborate with HR and department managers to organize orientation sessions, service team introductions, and initial job training.
  • Ensure new hires are set up with appropriate equipment, tools, and system access in coordination with the IT department.
  • Track and follow up on the onboarding progress and offer continued support to new employees as they transition into their roles.
Service Department Support:
  • Assist the Service Department in maintaining accurate records of service orders, customer inquiries, and team schedules.
  • Help organize departmental meetings, training sessions, and team-building activities.
  • Manage service-related databases and ensure all employee information is kept up-to-date.
  • Assist in the development of service process documentation and updates to departmental procedures.
