Job Overview

The Billing Coordinator plays a crucial role in providing financial, administrative, and clerical support by managing invoicing for construction contracts and ensuring accurate record-keeping of invoices and receipts. This position involves updating contracts and schedules of values while guaranteeing timely and precise processing of all transactions.

Key Responsibilities:

  • Manage various billing documents and forms.
  • Prepare, verify, and process invoices related to contracts, change orders, and purchase orders.
  • Develop schedules of values for project managers and relevant stakeholders.
  • Possess comprehensive knowledge of conditional and unconditional waiver and release forms.
  • Set up contracts, change orders, and purchase orders in the accounting system.
  • Record cash receipts accurately.
  • Engage with customers and their teams to facilitate receivable tasks.
  • Maintain a precise change order log.
  • Perform any additional tasks as assigned by the Accounting Manager or other management personnel.

Qualifications:

  • Minimum of 2 years of experience in accounts receivable, preferably within the construction industry.
  • Proficient in Microsoft Excel, including the use of formulas and spreadsheet creation.
  • Familiarity with Sage 300 accounting software or similar systems.
  • Strong attention to detail and a high degree of accuracy.
  • Excellent data entry skills.
  • Ability to demonstrate urgency and meet deadlines effectively.
  • Understanding of general accounting principles.
  • Ability to lift up to 15 pounds.
  • Bachelor's degree in Accounting, Finance, or Business is preferred; equivalent experience is acceptable.
