Job Overview

The Billing Coordinator plays a crucial role in providing financial, administrative, and clerical support by managing invoicing for construction contracts and ensuring that records of invoices and receipts are meticulously maintained. This position involves updating contracts and schedules of values while guaranteeing that all transactions are processed accurately and in a timely manner.

Key Responsibilities:

  • Manage and process various billing documents and forms.
  • Prepare, verify, and process invoices related to contracts, change orders, and purchase orders.
  • Develop schedules of values for project managers and other stakeholders as required.
  • Possess comprehensive knowledge of conditional and unconditional waiver and release forms.
  • Set up contracts, change orders, and purchase orders in the accounting system.
  • Record cash receipts accurately.
  • Engage with customers and their teams to facilitate receivable tasks.
  • Maintain a precise change order log.
  • Perform any additional tasks as assigned by the Accounting Manager or other management personnel.

Qualifications:

  • A minimum of 2 years of experience in accounts receivable, preferably within the construction industry.
  • Proficient in Microsoft Excel, including the use of formulas and spreadsheet creation.
  • Familiarity with Sage 300 accounting software or similar programs.
  • High level of accuracy and attention to detail.
  • Excellent data entry skills.
  • Demonstrates a sense of urgency and the ability to meet deadlines.
  • Understanding of general accounting principles.
  • Ability to lift up to 15 pounds.
  • A Bachelor's degree in Accounting, Finance, or Business is preferred, though equivalent experience is acceptable.
