Job Summary
The Loan Officer Assistant plays a crucial role in the organization by assisting originators in building complete loan files for submission. This role may perform Lead to Contract and/or Contract to Close duties.
Key Responsibilities
Lead to Contract Duties:
- Act as the primary point of contact for customers, ensuring timely and effective communication.
- Assist originators in appointment setting with prospective and new applicants.
- Provide new lead call backs within 20 minutes and maintain a 35% conversion rate from lead to appointment.
- Set and confirm appointments for originators and manage their calendars.
- Provide administrative support in managing various client databases, including lead trackers and online pre-qualification links.
- Assist originators in obtaining accurate and thorough 1003 forms.
- Analyze customers' credit and financial scenarios to determine suitable loan products.
- Run credit reports and AUS findings for assigned loans.
- Prepare Initial Fee Worksheets and pull/prep web applications.
- Request status updates from pre-approved clients and referral sources.
- Stay up-to-date with company-approved programs and software systems.
- Provide marketing support by coordinating, creating, and distributing advertising materials.
- Manage monthly compliance-approved email marketing campaigns to realtors.
Contract to Close Duties:
- Monitor key dates related to loan transactions and respond accordingly.
- Send loan forms, disclosures, and supporting documentation to customers for completion and signature.
- Manage assigned originators' databases, tracking active loans and entering data as needed.
- Maintain customer contact to ensure follow-up of loan applications and answer basic customer inquiries.
- Provide support in collecting and preparing loan applications with supporting documentation.
- Order necessary documents, such as 4506T and SSA, as needed.
- Prepare and submit loan applications to processing, resolving any subsequent file issues.
- Review CD to ensure fees and cash at closing are consistent with customer commitments.
- Provide assistance throughout the production and underwriting process.
- Provide status updates to referral sources on active loans, adhering to Guild's policies on Consumer Privacy and Safeguarding of Information.
- Answer customer inquiries related to active loans and/or loan application status.
Additional Responsibilities:
- Act as the primary point of contact for customers, keeping them informed throughout the process.
- Pricing loans in accordance with Guild's policies and communicating fees to the operations team.
- Quoting rates and making commitments regarding locking to customers.
- Maintaining referral source relationships through quick response times and excellent customer service.
- Preparing and sending thank-you cards to referral sources and new clients.
- Collecting supporting documentation from customers and gathering necessary documentation for pre-approval.
- Acting as a point of contact for customers and referral sources, keeping them informed throughout the process.
- Discussing product features with customers.
- Performing other duties as assigned.
Requirements
- High school diploma or equivalent is preferred, along with at least two years of experience in mortgage lending or a related field.
- Active MLO licensing is required.
- Ability to manage multiple priorities, with strong detail orientation and highly organized.
- Works with a strong sense of urgency and responsiveness.
- Passionate about delivering excellence in customer service.
- Demonstrated patience and professionalism when interacting with both internal and external customers.
- Proficiency with data entry, PDF software programs, Microsoft Word, and Excel is required.
- Strong verbal and written communication skills, with basic math skills.
- Ethical, with a commitment to company values.
Work Environment
- Work is primarily sedentary, with mobility in an office setting.
- Frequent use of a computer keyboard and mouse.
- Ability to accurately interpret sounds and associated meanings at a volume consistent with interpersonal conversation.
- Regularly required to accurately perceive, distinguish, and interpret information received visually and through audio.
