About the Role

We are seeking a highly organized and detail-oriented Administrative and Order Processing Support Specialist to join our team in Tyler, TX. This role plays a crucial part in managing administrative and order processing tasks within the company.

Key Responsibilities
  • Order Management: Accurately and timely manage incoming orders, including registration, processing, verification of product availability, and shipment coordination.
  • Quotation Generation: Generate spare parts quotations based on incoming requests from the Sales Group, Customer Support Group, or directly from customers.
  • Regulatory Compliance: Ensure adherence to ITAR and customer AVL requirements.
  • Scheduling: Manage the calendar of the service team to keep up-to-date with intervention schedules for the Service Group.
  • Contract Management: Handle service contract expirations, renewals, and quotations by sending reminders to customers and sales teams as needed.
  • Customer Support: Provide support to customers regarding orders, shipping issues, or product information requests.
  • Internal Collaboration: Collaborate with logistics, warehouse, sales, and accounting departments to ensure efficient order information flow.
  • Documentation: Maintain and accurately update order records, shipping documents, and other relevant documents.
  • Quality Control: Verify the accuracy of processed orders, ensuring compliance with customer requirements and company protocols.
  • Administrative Support: Assist with general administrative tasks such as reporting, email management, data entry, and other tasks as required.
Requirements
  • Education: High school diploma or equivalent degree in a related field is preferred.
  • Experience: Previous experience in administrative or order processing roles is necessary.
  • Technical Skills: Familiarity with order management software and office automation applications is essential.
  • Soft Skills: Excellent communication skills, customer orientation, organizational skills, retail attitude, precision, multitasking abilities, time management, ability to work effectively in a team and independently, customer orientation, problem-solving skills, adaptability, and flexibility in a dynamic working environment.
