Position Overview

The role is essential for the seamless execution of events, facility rentals, workshops, meetings, and classes at the Garden. The primary responsibility is to provide setup and support services to various departments and guests, ensuring that every event runs smoothly and efficiently.

Key Responsibilities

  • Maintain cleanliness of event spaces before, during, and after events, including floors, surfaces, restrooms, and disposal of waste.
  • Efficiently set up and dismantle tables, chairs, event equipment, and structures according to the scheduled requirements, ensuring safety standards are followed.
  • Prepare and manage audio/visual equipment for events, assisting with minor troubleshooting as needed.
  • Support the Beverage Department with bar setups and breakdowns, providing assistance with waste management and supplies during events.
  • Collaborate with the Exhibits Department for the installation and removal of temporary art displays and seasonal exhibitions.
  • Facilitate the delivery of additional equipment and supplies to designated areas as required.
  • Safely operate a motorized cart for transporting furniture, equipment, and supplies.
  • Deliver outstanding customer service to staff, volunteers, clients, guests, and vendors throughout events.
  • Ensure the needs of all parties involved are met during events.
  • Keep staging areas organized and compliant with safety regulations, maintaining accessibility.
  • Perform basic grounds maintenance tasks to uphold presentation quality and report any damages or irregularities.
  • Utilize email communication and work request systems effectively.
  • Represent the Event Logistics team in meetings as necessary.
  • Operate Garden vehicles off-site when required.
  • Handle heavy machinery (e.g., forklift) upon successful completion of training and certification.
  • Manage long-term projects or installations while balancing daily responsibilities.

Qualifications

  • Availability to work weekends (Friday-Sunday), occasional evenings, and holidays.
  • Possession of a valid driver's license and ability to operate a motorized cart.
  • Minimum age of 18 years to transport alcohol as part of job duties.
  • Strong communication skills and effective time management abilities.
  • Exceptional customer service skills are essential.

Equipment Utilized

This position requires the use of standard office equipment, small hand tools, handheld power tools, and motorized carts for setting up and maintaining events and displays.

Internal Communication

Regular interaction with staff across multiple departments is expected.

External Communication

Occasional communication with visitors, vendors, and partners may occur.

Working Environment

Physical capabilities to walk, sit, stand, stoop, kneel, bend, see, hear, speak, read, and type are necessary. The role requires manual dexterity and the ability to lift up to 75 pounds. Climbing ladders and working at heights are part of the job, along with outdoor work in varying weather conditions.
