Job Overview

The National WWII Museum is in search of an Executive Assistant to provide dedicated support to the Vice President of Education and Access. This pivotal role involves managing a diverse range of internal and external communications, ensuring the seamless operation of the VP's daily activities.

Key Responsibilities
  • Calendar Management: Oversee the VP's schedule, preparing necessary materials for meetings in advance, coordinating both internal and external engagements, and ensuring all appointments are confirmed.
  • Contact Management: Maintain and update the VP's Outlook contacts to ensure efficient communication.
  • Email Oversight: Regularly monitor the VP's inbox, performing necessary organization and archiving.
  • Travel Coordination: Plan and arrange all aspects of the VP's travel, including transportation, lodging, and itinerary preparation, ensuring all details are accurately reflected in the calendar.
  • Filing System Maintenance: Develop and maintain an organized filing system for correspondence, reports, and documents.
  • Mail Processing: Handle incoming mail for the VP, drafting responses when appropriate.
  • Task Management: Keep track of tasks assigned by the VP, ensuring deadlines are met through proactive coordination with relevant departments.
  • Visitor Reception: Greet visitors and manage phone inquiries, providing information as needed.
  • Document Review: Ensure all materials prepared for the VP's approval are accurate and formatted correctly.
  • Expense Reporting: Prepare and review monthly expense reports for the VP and subordinate department heads.
  • Committee Support: Provide assistance for committee meetings, working closely with project managers and board relations.

Qualifications
