The Administrative Coordinator plays a critical role in supporting the Capital Development Program from inception to close-out. Key responsibilities include:

  • Managing financial and equipment ordering for construction projects
  • Preparing PH2 AFEs for Refresh Program based on Site Walk notes
  • Soliciting proposals from GCs and vetting out pricing
  • Obtaining missing information and ensuring vendor awarded is added to the eBuilder project
  • Preparing and distributing Purchase Orders for Third Party Vendors
  • Coordinating final proposal amounts and POs for all lines
  • Managing the cost side of the Change Order workflow
Working Relationships

The Administrative Coordinator interacts with various departments, including Real Estate Group, Risk, Law, Finance, Marketing, IT, and Operations. External communication and coordination are also required with Engineers, Architects, General Contractors, Vendors & Manufacturers, Preferred Developers, Attorneys, and State/Local Officials.

Requirements

To be successful in this role, the Administrative Coordinator should possess:

  • Associate's Degree in Business Administration or commensurate
  • 4 years of experience, with 5-7 years preferred and experience with eBuilder or other project management platform
  • Superb written and verbal communication skills, advanced skill level in Excel, adaptability, and familiarity with project management systems
Working Conditions

This is a full-time salary position, primarily working days, but may require working a variety of hours depending on business needs.
