Job Summary

The Tennessee Orthopaedic Alliance is seeking a highly skilled Patient Access Coordinator to join our team. As a Patient Access Coordinator, you will be responsible for providing exceptional customer service to our patients, ensuring they receive the best possible care and experience.

Key Responsibilities
  • Order Management: Receive and manage therapy orders via the NextGen Task Basket, ensuring timely and accurate processing.
  • Scheduling: Contact patients to schedule therapy appointments, utilizing critical thinking to find the most convenient and effective appointment times.
  • Customer Service: Answer inbound calls from new and existing patients, providing professional and empathetic support to meet their needs.
  • Documentation: Review patient demographics and insurance information in NextGen, ensuring accuracy and completeness.
  • Problem-Solving: Use expertise within TOA guidelines to resolve patient issues, finding creative solutions when necessary.
  • Technology: Maneuver between multiple screens and systems to document information and search for therapist availability.
  • Appointment Requests: Review online appointment requests and schedule appointments accordingly.
  • Referrals: Handle inbound referrals for designated physicians, ensuring seamless communication and coordination.
  • Cancellations: Reschedule cancellations and respond to time-sensitive email communication.
Requirements
  • Customer Service: Provide excellent customer service, executing it on a daily basis with a professional and empathetic tone.
  • Communication: Enjoy corresponding over the phone and possess strong communication skills.
  • Organization: Be highly organized, paying close attention to detail and maintaining a high level of accuracy.
  • Technical Skills: Be proficient in Microsoft programs, including Excel, Word, and Office.
  • Teamwork: Enjoy working collaboratively as part of a team to achieve goals.
  • Boundary Spanning: Successfully work across boundaries, including other TOA roles and clinics.
  • Knowledge: Possess knowledge of patient appointment scheduling and experience working with an EMR, such as NextGen (or similar documentation systems).
  • Education: Hold a high school degree, with a college degree preferred.
