ROLE OVERVIEW:
The incumbent serves as the Administrative Coordinator, playing a crucial role in the effective management of office operations. This includes overseeing report and record management through various data systems, maintaining financial documentation, and supervising a diverse team of approximately 70 employees across multiple departments.
KEY RESPONSIBILITIES:
- Manage confidential personnel matters, departmental budget, and public relations.
- Act as Chief Administrator in the absence of the Prosecuting Attorney.
- Supervise and guide department staff, including interns and various support roles.
- Maintain and update job descriptions and assess staffing needs.
- Facilitate recruitment processes, ensuring compliance with employment laws.
- Conduct interviews and make recommendations for hiring support staff.
- Assist in performance evaluations and disciplinary actions for staff.
- Serve as the primary contact for employee inquiries regarding payroll and leave.
- Prepare monthly attendance summaries and analyze personnel-related data.
- Coordinate staff training and development initiatives.
- Oversee compliance with grant management and funding opportunities.
- Monitor financial transactions and prepare reports for the Prosecuting Attorney.
- Manage scheduling for the Prosecuting Attorney and Chief Deputy.
QUALIFICATIONS:
A Bachelor's Degree in a related field or equivalent experience, along with a minimum of five years in criminal justice or public administration, is required. The candidate must possess strong knowledge of legal terminology, court operations, and the ability to manage a large team effectively.
WORK ENVIRONMENT:
The role is performed in a standard office setting, requiring the ability to sit, stand, and communicate effectively. The incumbent may occasionally work extended hours and travel for training and meetings.
