ROLE OVERVIEW:
The Patient Care Coordinator is responsible for warmly welcoming patients and their families, ensuring a smooth registration and appointment scheduling process. This role involves managing incoming calls, directing them to the appropriate personnel, and relaying messages between patients and clinical staff.
Adherence to the US Oncology Compliance Program, including the Code of Ethics and Business Standards, is essential.
KEY RESPONSIBILITIES:
- Greet patients and visitors promptly and professionally, ensuring a positive first impression.
- Facilitate the completion of necessary paperwork prior to patient examinations.
- Collect and verify patient forms for accuracy and completeness.
- Update patient demographics and insurance details in the system.
- Process copayments and outstanding balances, providing receipts as needed.
- Address routine inquiries, directing them to the appropriate staff or taking detailed messages.
- Communicate effectively with clinic personnel, ensuring timely message delivery.
- Assist patients in checking out post-examination and schedule follow-up appointments as per office protocols.
- Provide patients with comprehensive appointment information, including time, location, and instructions.
- Document cancellations and missed appointments, rescheduling as necessary.
- Notify relevant staff of cancellations and update patient records accordingly.
- Support general administrative tasks, including filing and maintaining patient charts.
- Ensure the waiting area is tidy and welcoming.
- Maintain an adequate supply of necessary forms and office materials.
- Uphold confidentiality and comply with state, federal, and HIPAA regulations regarding patient records.
- Perform additional duties as assigned, which may include typing memos and forms.
QUALIFICATIONS:
- High school diploma or equivalent is required.
- Prior experience in a receptionist or office role is preferred.
- Proficiency in computer systems and Microsoft Office Suite (Outlook, Word, Excel) is necessary.
- Completion of required e-learning courses within the initial 90 days of employment is mandatory.
- Demonstrates adaptability in handling daily work challenges and shifting priorities.
- Exhibits a strong commitment to quality and performance standards.
PHYSICAL REQUIREMENTS:
This position requires the ability to meet physical demands, including sitting or standing for extended periods, manual dexterity, and the capability to lift items weighing up to 40 lbs. Reasonable accommodations may be made for individuals with disabilities.
WORK ENVIRONMENT:
The work environment may involve exposure to various health-related conditions typical of an oncology/hematology clinic. In-person interaction with colleagues and patients is a key aspect of this role.
