Position: Financial Operations Supervisor (Accounts Payable and Payroll)

Role Summary
The Financial Operations Supervisor plays a crucial role in overseeing the accounts payable department, ensuring the timely processing of payroll, vendor payments, and maintaining precise financial records.
Key Responsibilities
- Manage the processing of all invoices, expense claims, and facility rental payments.
- Stay informed about the purchasing system and ensure compliance with all payment procedures.
- Coordinate weekly cheque runs and prepare payments for vendors, maintaining effective communication as needed.
- Issue manual payments for urgent needs and maintain necessary financial reports for periodic evaluations.
- Handle U.S. funds payments and obtain international money orders for overseas vendors as required.
- Reconcile vendor statements and manage invoices from out-of-province vendors for tax assessments.
- Maintain both electronic and paper accounts payable systems, ensuring accurate vendor file management.
- Record and reconcile branch financial reports and bank accounts.
- Distribute library credit cards to staff and assist in issuing blanket purchase orders.
- Prepare comprehensive reports for major vendors as needed.
- Perform payroll functions in the absence of the payroll clerk and stay updated on payroll regulations.
- Oversee the Branch Cash Management System, providing training and resolving issues for branch staff.
- Compile annual population data for the Board Planning Committee.
- Conduct necessary accounting reconciliations and perform additional duties as assigned.
Essential Skills
- Proficient in operating a 10-key calculator, personal computer, and relevant software (Outlook, Word, Excel, etc.).
- Strong communication skills with the ability to maintain confidentiality.
- Effective interaction with diverse populations and the ability to manage multiple tasks efficiently.
- Supervisory skills to manage personnel and ensure timely completion of tasks.
- Ability to prepare and process records and reports accurately.
- Coordination skills for complex automated systems.
Work Environment
This is a full-time position based at our LAX location.
Qualifications
- Bachelor's degree in business or accounting.
- A minimum of two years of experience in accounts payable and payroll functions.
- Annual salary range: $70,000 to $75,000.
