- Directly manage the Facilities Specialists and provide guidance on their tasks.
- Have the authority to hire, counsel, and recommend changes in employment status for team members.
- Exercise independent judgment and discretion in all facilities-related matters.
- Encourage, train, and develop team members to enhance their skills.
- Oversee the maintenance of corporate buildings and branch offices, including vendor negotiations for janitorial and maintenance services.
- Manage the facilities department, ensuring proper upkeep of office equipment and fitness center facilities.
- Address service requests from employees and resolve any related issues.
- Maintain documentation for contracts and ensure timely servicing and repairs of equipment.
- Coordinate mail processing, shipping, and receiving services.
- Manage requests for moving furniture and equipment across locations.
- Ensure security measures are in place for corporate facilities, including key and code management.
- Maintain an attractive appearance for all facilities.
- Provide 24-hour on-call contact information for emergencies.
- Review and approve invoices related to utilities and maintenance.
- Participate in budget development and monitor compliance with financial plans.
- Maintain the master schedule for training rooms and ensure setups are completed as requested.
- Develop and update operating procedures for facilities management.
- Research and propose new methods and materials to improve efficiency and reduce costs.
- Compile and analyze data for various reports as needed.
- Participate in safety and security committees and implement necessary facility changes.
- Complete required compliance training as assigned.
- Adhere to all applicable laws, regulations, and organizational policies.
- Perform additional duties as assigned.
- High School diploma or equivalent; a college degree is preferred.
- Knowledge of facilities maintenance and CAL/OSHA regulations.
- Strong understanding of facilities management practices.
- Familiarity with mail services and postal regulations.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Proficient in Microsoft Office Suite.
- Basic accounting skills for budget management.
- Strong communication skills, both verbal and written.
- Proven planning and administrative abilities.
- Physical capability to lift up to 75 pounds.
- Willingness to travel to various locations as needed.
- A minimum of 3 years of experience in facilities management or related fields.
- CPR, AED, and First Aid certification preferred.
- A valid driver's license with a good driving record.
- Demonstrated leadership and team development skills.
