Position Overview:


Under the supervision of the Parking Manager, the Event and Department Administrator will undertake various administrative duties within the Parking Department at Rice University.

This role reports directly to the Parking Manager and may involve special projects assigned by the Director of Parking Operations.


Work Environment:


This position requires on-site presence, with all responsibilities performed in person at the Central Campus Garage, Monday to Friday, from 9:00 am to 5:00 pm. Flexibility to work evenings and weekends may be necessary. According to Rice policy 440, work arrangements are subject to change.
Responsibilities may include standing or sitting for extended periods, particularly during busy customer service times or events.
Occasional walking across campus for errands and events may be required.
Ability to lift items weighing up to approximately 50 lbs.
Must handle high-pressure situations and critical issues with sound judgment and decision-making skills.
Good judgment and tact are essential at all times.

Outdoor duties may be necessary, and candidates should be prepared for varying weather conditions.


Compensation Range:
$18.89 to $21.00 per hour.

Basic Qualifications:
High School diploma or equivalent

At least 2 years of administrative experience. Additional relevant education and/or experience may be considered on a year-for-year basis in lieu of the education/experience requirement.


Required Skills:


Experience with computer systems training and implementation or equivalent experience in managing large-scale parking operations is preferred.

Familiarity with parking fee-based computer systems, traffic control devices, accounting, and revenue management procedures is advantageous.

Experience in supervisory roles, visitor operations, event parking management, and knowledge of applicable federal, state, and local laws regarding enforcement, traffic, and parking is preferred.

Demonstrated excellence in customer service is crucial.
Experience in a higher education setting is a plus.
Proficiency in computer applications, particularly spreadsheets and databases, is required.

The Event and Department Administrator must be adaptable and willing to engage with new systems, especially parking software as it is implemented.

Building trust with university faculty, staff, and students is essential to ensure their interests are understood and supported.

Problem-solving skills and creativity in addressing parking system challenges are necessary.
Ability to apply established procedures correctly and exercise sound judgment is required.

Self-discipline and initiative are important traits, along with the experience to develop systems and procedures that align with university needs.

Excellent interpersonal communication skills are necessary to effectively engage with customers, colleagues, and subordinates.

It is vital to earn the confidence of peers and be recognized as a professional member of the campus support staff.


Preferred Qualifications:
Experience with Oracle
Familiarity with cloud applications (Google Docs, Google Sheets, etc.)
Proficiency in Adobe Software
Experience with financial business systems for purchasing and expense processing.

Key Responsibilities:
Coordinate the event parking process, ensuring that events impacting parking are communicated effectively to the Parking Supervisor. Maintain and distribute the activity schedule for parking attendants weekly.
Deliver exceptional customer service within the Parking Department, acting as the primary customer service representative for events.
Manage inventory of office supplies and place orders as necessary.
Serve as the department's webmaster, responsible for all updates and modifications to the parking website.

Coordinate with sign companies to fulfill parking and facility signage needs.

Gather and maintain data for reports, utilizing various computer software applications.
Oversee marketing and promotional efforts for the Parking Department on campus.
Assist in the evaluation, testing, and upgrades of the AIMS and Skidata systems, including preparing the AIMS web interface for upcoming registrations.

Conduct regular audits of parking records to ensure accurate fee payments for selected parking options.

Facilitate smooth communication within the Parking Department.

Collaborate with the Parking Supervisor to assign and implement event parking arrangements and assist in coordinating event parking staff.

Plan and organize staff training on AIMS and Skidata Parking System software, along with other training requirements, in conjunction with the Parking Supervisor.

Perform duties as a parking attendant or registration clerk as needed.
Carry out additional responsibilities as assigned by the Parking Manager.

Additional Responsibilities:
This position represents the university and requires a friendly demeanor, cooperative attitude, and the ability to create a positive impression within the Rice community.

Frequent interactions with students, faculty, and staff are expected, as well as contact with the external community and visitors attending campus events.

This role may involve leading temporary or event staff.
