Position Overview:

The Service Operations Coordinator plays a crucial role in the daily management of service operations, ensuring adherence to the quality standards, policies, and procedures set forth by Alliance Laundry Systems. This position is integral in enhancing team productivity through both operational and administrative support, and actively engages in process improvement initiatives as a member of a Cross-Functional team.

Key Responsibilities:

  • Manage and oversee the scheduling, routing, and resource allocation for the Service team, ensuring efficient assignment and dispatch of field personnel across multiple states.
  • Monitor job statuses, field personnel activities, and backlog on the designated Service Tracker, maintaining comprehensive records of work performed, including dispatch logs and service orders.
  • Prepare service repair quotes and customer invoices, handling all aspects of service invoicing, including the collection of overdue payments.
  • Serve as a customer support specialist, liaising with clients to confirm service scheduling and ensuring a designated point of contact is available on-site for efficient service delivery.
  • Coordinate with the installation team to determine if additional personnel are required based on project complexity.
  • Collaborate with the parts department to facilitate the acquisition of necessary equipment and parts, confirming their availability to ensure timely service calls.
  • Assist in generating invoices for completed projects, ensuring all required documentation is submitted promptly for payment processing.
  • Act as a liaison between customers and the office, enhancing the customer experience by promoting company products and services.
  • Effectively communicate escalations to the Service Manager as necessary.

Qualifications:

  • High School diploma or equivalent is required; an associate or bachelor’s degree is preferred.
  • A minimum of 2 years of experience in a dispatching or scheduling environment is preferred, with equivalent combinations of education and experience considered.
  • Familiarity with Sage, SAP, Salesforce, or other CRM systems is strongly preferred.
  • Proficient in computer applications, including MS Outlook, Word, and Excel.
  • Experience in customer support via telephone and email/ticketing systems is preferred.

Skills and Abilities:

  • Exceptional planning and organizational skills; adept at project coordination and task execution.
  • Strong attention to detail and ability to manage multiple projects simultaneously while meeting deadlines.
  • Excellent written, verbal, and interpersonal communication skills; capable of engaging professionally across all organizational levels.
  • Demonstrates a strong work ethic and proactive approach, with resilience in navigating change.

Physical Requirements:

  • Position involves prolonged periods of sitting and standing, as well as manual dexterity and bending.
  • Ability to lift, carry, push, and pull up to 25 lbs occasionally; assistive devices will be provided for heavier items.
  • Regularly required to communicate verbally and utilize hands for tasks, with a focus on computer-based work.
