Job Description Overview

The Ascend Talent Solutions Assistant Property Manager plays a vital role in ensuring the successful management of our properties. As part of our team, you will be responsible for collaborating with various stakeholders, including Property Managers, Asset Managers, Property Coordinators, and Engineering and Security teams. Your primary focus will be on preparing monthly and annual financial reporting packages, project managing above-standard work for tenants, and establishing and maintaining relationships with building vendors to drive high-quality work and service.

Key Responsibilities Include:
  1. Managing Tenant Correspondence and Move-Ins/Move-Outs: Ensure timely and accurate handling of tenant correspondence, move-ins, and move-outs, including preparation of related documents.
  2. Aging Report and Delinquency Follow-Up: Assist the Property Manager in preparing the aging report and follow up on delinquencies to maintain a high level of collection efficiency.
  3. Tenant and Vendor Interface: Interact with tenants and vendors on work order requests, on-site maintenance, improvement projects, and events to ensure seamless communication and timely resolution.
  4. CAM Charges and Billing Adjustments: Assist with tenant CAM charges, tax assessments, and miscellaneous billing adjustments to ensure accuracy and compliance.
  5. Bill-Back Processing: Process above-standard tenant bill-backs for electrical usage, after-hours HVAC, and similar charges in a timely manner.
  6. Insurance Certificate Oversight: Oversee tenant and vendor insurance certificates to ensure compliance and minimize risks.
  7. Contractor Performance Oversight: Participate in performance oversight of contract service contractors to maintain high standards of quality and service.
  8. Lease Abstract Preparation: Prepare tenant lease abstracts to facilitate smooth transition and compliance.
  9. Tenant File Compliance: Ensure tenant files are complete and compliant with building standards.
  10. Capital and TI Project Oversight: Assist in overseeing capital and TI projects to ensure timely completion and within budget.
  11. Regular Inspections: Lead regular inspections of properties with janitorial and other building service providers to maintain high standards of cleanliness and maintenance.
  12. Relationship Development: Develop strong relationships with tenants and vendors to foster trust and cooperation.

Requirements:

To succeed as an Assistant Property Manager at Ascend Talent Solutions, you must have 1-3 years of experience in a similar role. Strong knowledge of finance and building operations, excellent communication skills, and proficiency in relevant software programs are essential. Additionally, you should have exceptional problem-solving and analytical skills, as well as excellent customer service skills and ability to develop long-term relationships with tenants. A Bachelor's degree is required. The estimated salary range for this position is $65,000-$75,000 per year.
