Overview

The Healthcare Reception Coordinator plays a crucial role in facilitating the administrative functions of our medical facility. This position is responsible for maintaining an organized and efficient office environment, assisting the Office Manager, and ensuring a friendly atmosphere for patients and their families. The coordinator will provide empathetic and informative assistance to patients while handling communications, record-keeping, and telephone inquiries.

Key Responsibilities

  1. Assist patients and referring providers in person and via phone, directing inquiries to the appropriate personnel.
  2. Confirm patient eligibility and insurance coverage prior to appointments.
  3. Secure referrals or insurance authorizations ahead of patient visits.
  4. Maintain patient accounts by accurately recording and updating personal and financial information necessary for insurance billing.
  5. Organize and manage the office filing system and retrieve patient records as needed.
  6. Welcome patients upon arrival, facilitate check-ins, and collect insurance information and other required data.
  7. Provide new patients with intake forms and assist them as necessary.
  8. Ensure coverage until the office closes or the last patient has departed, if applicable.
  9. Coordinate the flow of patient appointments in collaboration with clinical staff.
  10. Manage patient expectations during any delays.
  11. Safeguard patient rights by upholding confidentiality regarding medical, personal, and financial information.
  12. Ensure adherence to all HIPAA regulations.
  13. Collect co-pays, co-insurance, and outstanding balances at the time of service; establish payment plans when necessary.
  14. Schedule initial and follow-up appointments for physicians, clinicians, and ultrasound labs.
  15. Complete additional projects as assigned.

Qualifications

  1. High School diploma required; Associate's or Bachelor's degree preferred.
  2. Minimum of 1 year of administrative support experience; experience in a healthcare setting is advantageous.
  3. Familiarity with multi-line phone systems.
  4. Ability to maintain professionalism in a fast-paced environment.
  5. Strong verbal and written communication skills.
  6. Prior experience with Microsoft Office Suite is preferred.
  7. Willingness to accept local and/or regional assignments as needed.
  8. Knowledge of HIPAA, Medicare, and commercial insurance is a plus.
  9. Capability to handle multiple tasks in a busy medical environment.
