POSITION SUMMARY

The Recreation Software Administrator is tasked with overseeing, directing, and managing the functionality of RecTrac, the primary Recreation Management System utilized by the District. Additionally, this role involves understanding, maintaining, and enhancing the current processes for registration, facility reservations, and membership management in collaboration with various departments and managers. The RSA is also responsible for providing fundamental training to end-users in RecTrac and other IT systems, as well as coordinating extensive usage of various IT systems for special events and major registration periods. The RSA reports directly to the Superintendent of IT and serves as a key technical support contact for the organization.

KEY RESPONSIBILITIES

  • Administer the RecTrac Registration software, including maintenance, user role configuration, archival of seasonal data, and other registration-related tasks.
  • Schedule and conduct training sessions for RecTrac users across the entire software suite.
  • Collaborate with the Customer Service Manager and Finance Manager to develop and maintain procedural manuals for RecTrac and other systems.
  • Audit, assess, and authorize the implementation of RecTrac software upgrades as they become available.
  • Troubleshoot customer accounts, activities, memberships, tickets, and other RecTrac records to assist Customer Service.
  • Provide Tier 1 support to staff regarding all issues related to RecTrac, escalating to other IT personnel when necessary.
  • Respond promptly and professionally to tickets assigned via the IT Work Order/Ticketing system.
  • Act as a backup for Customer Service, occasionally working in frontline Customer Service areas when required.
  • Perform duties safely and in accordance with district policies, procedures, and safety regulations.
  • Be knowledgeable about the safe operation of any equipment necessary to complete required tasks.

MINIMUM QUALIFICATIONS

  • Effective communication skills with both internal and external customers.
  • Essential computer skills to achieve proficiency with RecTrac software and other District IT systems.
  • Strong technical and professional writing abilities.
  • Understanding of basic project management principles.
  • Good knowledge of relevant safety precautions.
  • Ability to foster positive and effective working relationships with colleagues.
  • Ability to maintain confidentiality regarding customer accounts and District IT system information.

EDUCATION AND EXPERIENCE

An Associate's Degree, with a minimum of two (2) years of experience in RecTrac or other Recreation Management Systems, along with one (1) year of Customer Service experience is preferred. Equivalent combinations of education and experience will be considered.
