Role Overview:
As an Executive Administrator, your primary responsibility will be to deliver comprehensive administrative support to the department. You will serve as a liaison, problem solver, and facilitator for the leadership team and department.
Key Responsibilities:
- Establish and nurture effective professional relationships with management, employees, and external contacts.
- Provide support for site management and senior leadership, including those visiting from other locations.
- Execute team support tasks such as ordering supplies, booking meeting spaces, processing training registrations, and updating distribution lists.
- Assist in planning both onsite and offsite team meetings and events, coordinating logistics such as room setup, catering, and A/V needs.
- Offer on-location support for team activities, including meetings and outings.
- Manage the local snack program, coordinating vendor deliveries and maintaining cleanliness.
- Facilitate the onboarding process for new employees and contractors, including tracking their progress.
- Collaborate with facilities management to assist with workspace management and submit work orders.
- Ensure common areas remain tidy and organized.
- Assist with travel arrangements for team members.
- Help develop and update presentations, spreadsheets, and other documents in support of team initiatives.
- Provide assistance for various projects and initiatives as needed.
- Create purchase requisitions and aid staff with expense reporting and financial inquiries.
- Oversee budget management and expense reporting.
Work Environment:
This position is hybrid, allowing for a mix of remote and office work. Employees are expected to work from the office 2-3 designated days each week, based on business needs.
Qualifications:
Basic Qualifications:
- A minimum of 6 months of relevant work experience or a Bachelor's Degree.
Preferred Qualifications:
- 2 or more years of administrative experience, including event planning or project coordination.
- A customer service-oriented mindset with a professional demeanor.
- Ability to handle sensitive information with discretion.
- Strong written and verbal communication skills, capable of thriving in a fast-paced environment.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Experience in managing calendars and organizing travel logistics is advantageous.
- Detail-oriented with the ability to prioritize tasks effectively and work collaboratively under pressure.
