Position: Executive Assistant

Role Overview: The Executive Assistant plays a crucial role in supporting the CEO and COO, along with providing assistance to other executive team members as needed, ensuring that the organization’s objectives are met and operations function smoothly.

Key Responsibilities:

  • Enhance and streamline internal processes that facilitate the work of senior executives and coordinate resources to optimize workflows.
  • Manage communications with staff by acting as a liaison between internal and external executives on various projects and tasks.
  • Organize and prioritize work to ensure that the needs of senior executives are met, organizational goals are achieved, and best practices are maintained.
  • Deliver high-level administrative support to the CEO, COO, and other designated leadership personnel.
  • Assist in corporate initiatives and projects.
  • Prepare documents including Word, Excel, and PowerPoint presentations, agendas, reports, and other materials to support organizational objectives.
  • Oversee complex scheduling and calendar management, resolving any conflicts that arise.
  • Support Human Resource initiatives, including maintaining connections with educational institutions and participating in career fairs.
  • Coordinate internal and external events.
  • Collaborate with corporate teams on marketing materials.
  • Handle sensitive matters with discretion and confidentiality, particularly those impacting company operations.
  • Perform additional duties as assigned by the executive team.

Qualifications:

  • A minimum of 5 years of experience in high-level administrative support.
  • High School Diploma or equivalent is required.
  • A Bachelor’s degree from an accredited institution or 5+ years of relevant experience and/or training.
  • Exceptional verbal and written communication skills.
  • Proficiency in Smartsheets and Power BI is essential.
  • Ability to manage confidential information with integrity.
  • Strong organizational skills, attention to detail, and the ability to prioritize tasks effectively.
