Job Summary

The Human Resources Coordinator will provide support to the Human Resources team in various functions related to recruitment and onboarding. This role will serve as a key contact for employees who require assistance with HR-related matters.

Key Responsibilities
  1. Recruitment Support
    1. Coordinate and execute all interview paperwork for candidates, working closely with the Recruiter, Hiring Manager, and Interview Team to ensure a seamless experience.
    2. Manage all aspects of the interview process, including scheduling, confirmation, and logistics.
    3. Assist candidates with expense reimbursement as needed.
    4. Ensure a positive candidate experience and provide judgment when necessary.
    5. Manage calendars and availability of candidates, hiring managers, and interview teams.
    6. Generate offer letters and new hire paperwork.
    7. Conduct drug screens and background checks.
    8. Support college recruitment efforts, including attending events as needed.
    9. Ensure job descriptions are in proper format and post jobs to internal and external job boards.
    10. Create and manage job codes.
    11. Work with the Applicant Tracking System (ATS) to track candidates and new applicants.
    12. Perform duties consistent with Doble's AA/EEO goals and policies.
    13. Other HR/recruitment projects as needed.
  2. Onboarding
    1. Responsible for the onboarding process for full-time and temporary employees, ensuring all necessary paperwork is completed and requirements are met.
    2. Assist the Receptionist/Office Assistant as needed with welcome cards, cubicle name tags, and new hire supplies.
    3. Manage New Hire and Post Hire Trackers and associated tasks.
    4. Conduct New Hire Orientation for full-time and temporary employees.
  3. Human Resources Support
    1. Provide administrative support for routine HR functions, including composing and editing correspondence, reports, contracts, filing, spreadsheets, and organizational charts.
    2. Maintain a working knowledge of HR policies and procedures and effectively communicate as needed.
    3. Run Business Intelligence reports from the Human Resources Information System (HRIS).
    4. Assist with paperwork for internal changes, such as promotion letters and change in status forms.
    5. Assist with HR audits.
    6. Support administrative duties associated with business acquisitions.
    7. Assist the Vice President of HR with preparing for annual reviews, quarterly business reviews, and other meetings.
    8. Identify and recommend improvements in HRIS efficiency and HR processes.
Qualifications

Bachelor's degree in Human Resource Management, Business Management, or a related field, or 5+ years of work experience in a related field.

Requirements
  1. Minimum 1 year of HR experience in a fast-paced environment.
  2. 1-3 years of previous experience working in a corporate office environment.
  3. Proficiency in Microsoft Office (Word, PowerPoint, and Excel).
  4. Knowledge of HR practices.
  5. Ability to express ideas clearly in written and oral communication.
  6. Excellent attention to detail.
  7. Excellent organizational skills and follow-through.

  1. Database experience.
  2. HRIS experience.
