Summary

The Records Management Specialist is responsible for maintaining and updating both physical and digital files within the Sheriff's Office Records Department. This role includes processing and distributing fingerprint forms to relevant agencies and courts, calculating jail credits for inmates, and providing necessary information to various stakeholders. The specialist will operate the TLETS/NLETS system to retrieve required data and conduct individual inmate record checks for law enforcement agencies.

Key Responsibilities

Essential duties include, but are not limited to:
  • Maintaining and updating both physical and digital records.
  • Cleaning, correcting, and filing all inmate bookings received.
  • Compiling jail credits for inmate files and providing information to authorized parties.
  • Retrieving necessary information from the TLETS/NLETS system.
  • Validating all warrants and protective orders in the TLETS/NLETS system.
  • Processing corrections from the Texas Office of Public Safety for fingerprints and dispositions.
  • Providing individual inmate record checks upon request to law enforcement agencies, courts, and other authorized entities.
  • Logging all requests for record checks and managing outgoing paperwork.
  • Providing inmate photographs and developing images as needed.
  • Maintaining records on multiple gun purchases.
  • Entering case dispositions into the computer system.
  • Assisting criminal justice personnel with record check inquiries.
  • Processing sex offender registrations.
  • Collecting fees and issuing receipts for reports and record checks.
  • Ensuring compliance with federal and state laws.
  • Adhering to all Midland County policies and ordinances.

Qualifications

To be successful in this role, candidates must possess a high school diploma or equivalent, along with at least one year of relevant experience. Certification from the Texas Law Enforcement Telecommunications System (TLETS) is required, including TCIC/NCIC certifications and knowledge of sex offender registration policies.

Candidates should demonstrate proficiency in:
  • Understanding court documents and local, state, and federal laws.
  • Operating computers and standard office equipment.
  • Organizing and prioritizing tasks effectively.
  • Communicating clearly, both verbally and in writing.
  • Maintaining effective working relationships with colleagues.

Work Environment
