Summary

The Records Management Specialist is responsible for maintaining and updating both physical and digital files. This role includes processing and distributing fingerprint forms to relevant agencies and courts, calculating jail credits for inmates, and providing necessary information to various stakeholders. The position requires operating the TLETS/NLETS system to gather essential data and conducting individual inmate record checks for law enforcement agencies.

Key Responsibilities

Essential duties include, but are not limited to:
  • Maintaining and updating both physical and digital records, including scanning files.
  • Cleaning, correcting, and filing all inmate bookings received from the detention facility.
  • Compiling jail credits for inmate files and providing information to authorized requesters.
  • Utilizing the TLETS/NLETS system to obtain necessary information.
  • Validating all warrants and protective orders in the TLETS/NLETS system for the Sheriff's Office.
  • Processing corrections from the Texas Office of Public Safety regarding fingerprints and dispositions.
  • Providing individual inmate record checks upon request to law enforcement agencies, courts, and other authorized entities.
  • Logging all requests for record checks and managing outgoing paperwork and photographs.
  • Providing inmate photographs and developing images as required.
  • Maintaining records on multiple gun purchases.
  • Entering case dispositions into the computer system and filing relevant documents.
  • Assisting criminal justice personnel with requests related to record check information.
  • Processing registrations for sex offenders.
  • Collecting fees and issuing receipts for arrest reports and record checks.
  • Ensuring compliance with the laws of the United States and the State of Texas.
  • Maintaining regular and timely attendance.
Qualifications

To be successful in this role, candidates must possess a high school diploma or equivalent, along with at least one year of relevant experience. Certification from the Texas Law Enforcement Telecommunications System (TLETS) is required, including TCIC/NCIC certifications and knowledge of sex offender registration policies.

Knowledge and Skills

Candidates should have a solid understanding of court documents, local, state, and federal laws related to the operation of the Sheriff's Office, and the TCIC/NCIC system. Proficiency in operating computers, organizing tasks, and effective communication, both orally and in writing, is essential.

The physical demands of this position include regular sitting, standing, and walking, as well as the ability to lift objects weighing up to 20 pounds. Reasonable accommodations may be made for individuals with disabilities.
