Position Overview:

The Bilingual Executive Assistant plays a crucial role in providing comprehensive support to the executive team, particularly the CEO. This position requires a proactive individual who can effectively manage a variety of tasks in a fast-paced, entrepreneurial environment. The ideal candidate will possess exceptional organizational skills, strong communication abilities, and a keen sense of discretion.

Key Responsibilities:

  • Deliver executive support primarily to the CEO, with additional assistance to other senior executives as needed.
  • Handle a wide range of administrative tasks, including managing a busy calendar, preparing expense reports, and drafting confidential correspondence.
  • Ensure the CEO's schedule is organized and respected, facilitating smooth operations.
  • Act as a gatekeeper, managing access to the executive team and optimizing their time.
  • Research and prioritize incoming issues directed to the CEO, determining the best course of action.
  • Maintain close communication with the CEO to keep them informed of upcoming commitments and responsibilities.
  • Complete essential tasks, such as drafting letters and personal correspondence, to support the CEO's leadership role.
  • Manage conflicting priorities effectively, ensuring timely completion of projects.
  • Assist the executive team with travel arrangements, accommodations, and meal planning as required.
  • Uphold confidentiality and discretion in all interactions with the executive team.
  • Participate in executive meetings and assist in coordinating agendas for senior management discussions.
  • Follow up on contacts made by the CEO to nurture ongoing relationships.
  • Perform personal errands as necessary to support the CEO.

Required Qualifications:

  • Bilingual proficiency in English and Spanish, with advanced oral and written communication skills.
  • A minimum of four years of experience in an administrative role supporting upper management.
  • Outstanding written and verbal communication capabilities.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Proficient in office productivity software and adaptable to new technologies.
  • A flexible team player who embraces change and challenges.
  • Ability to maintain confidentiality regarding sensitive company information.

Preferred Qualifications:

  • Experience in budget oversight and expense management.
  • Background in developing internal processes and organizational systems.

Physical Requirements:

Effective communication skills are essential for interaction with various stakeholders. Regular use of telecommunication and email is required. The role involves prolonged periods of sitting, with normal hearing and vision capabilities necessary for effective communication and document preparation. Minimal physical exertion may be required.
