Position Overview:

The Clinical Operations Associate is crucial to the seamless operation of our clinic. This diverse role requires a candidate with strong organizational skills, excellent communication capabilities, and a thorough understanding of medical office procedures. Key responsibilities include managing administrative tasks, facilitating patient interactions, and supporting the healthcare team to ensure high-quality patient care delivery.

Key Responsibilities:

  • Assist patients with check-in and check-out processes, handle phone inquiries, and respond to questions.
  • Communicate effectively with referring practices, patients, and team members.
  • Schedule appointments to enhance patient satisfaction and optimize the use of treatment rooms.
  • Independently complete treatment planning and verify benefits accurately.
  • Create, access, and confirm patient records, preparing necessary documentation for review.
  • Maintain a tidy and organized reception area.
  • Handle incoming mail and packages, distributing them appropriately.
  • Prepare outgoing correspondence and ensure timely delivery.
  • Manage email correspondence and communication with colleagues.
  • Collaborate with various teams, including Marketing, Human Resources, and Billing.
  • Perform end-of-day procedures, including cash and check deposits.
  • Take on additional responsibilities as assigned.
Required Skills & Qualifications:
  • Exceptional communication skills, both over the phone and in person.
  • Strong organizational, time management, and multitasking abilities.
  • Proficiency in basic computer applications, including Outlook and Microsoft Office.
  • Availability for full-time work, Monday through Friday.
  • Detail-oriented with effective communication skills among patients, healthcare providers, and support staff.
Preferred Experience:
  • Minimum of 1 year in a medical or dental office setting (Required).
  • 1 year of experience as an administrative assistant or receptionist (Preferred).
  • 1 year of experience with Open Dental software (Preferred).
  • High school diploma or equivalent; additional education or certification in healthcare administration is advantageous.
Compensation & Benefits:
  • Pay: $20.00-$25.00 per hour.
