POSITION SUMMARY

The Practice Account Specialist I plays a crucial role in the efficient management of medical practice billing and accounts receivable. This position is designed for individuals who are skilled in processing medical charges and facilitating financial transactions within a healthcare setting. The specialist collaborates with patients, practice managers, physicians, and clinical teams to enhance operational effectiveness in charge entry and related financial activities.

KEY RESPONSIBILITIES

  • Examine all charge entry documentation to ensure completeness and accuracy before inputting into the system.
  • Confirm that all necessary referral and authorization details are recorded prior to charge entry.
  • Update and verify patient demographics and insurance information in the practice management system as required.
  • Accurately input CPT-4, ICD-9-CM, ICD-10-CM, and HCPCS codes by analyzing source documents and adhering to coding guidelines.
  • Process and release charges into the charge scrubbing system on a daily basis.
  • Maintain a reconciliation system by comparing posted charges with the physician's schedule each day.
  • Address and resolve coding edits and claims denials in a timely manner.
  • Assist in developing rules within the system to prevent claim denials.
  • Complete necessary documentation for the establishment of rules aimed at minimizing denials.
  • Communicate effectively with physicians to ensure accurate coding and billing practices.
  • Investigate coding discrepancies and report findings to management.
  • Resolve outstanding items on the Missing Service Report weekly.
  • Collect patient payments, including co-payments and deductibles, during service visits, following established protocols for financial transactions.
  • Participate in required training sessions and coding seminars.
  • Maintain a daily deposit log to track financial transactions.
  • Identify yourself to patients and colleagues by wearing an identification badge at all times.
  • Provide courteous and respectful service to patients, addressing inquiries and directing requests efficiently.
  • Answer phone calls promptly and professionally, adhering to customer service standards.
  • Utilize computer systems in accordance with established guidelines.
  • Adhere to company policies, carrier regulations, and protocols associated with medical practice operations.
  • Provide backup support to front office staff as needed.
  • Perform additional duties as assigned.

EDUCATION AND EXPERIENCE REQUIREMENTS

  • High school diploma or equivalent is required.
  • Completion of an accredited medical coding program or at least one year of relevant coding experience.

  • Exhibit strong customer service and interpersonal skills, with a keen attention to detail.
  • Demonstrate integrity and a commitment to making a positive impact on patients and colleagues.
  • Ability to collaborate effectively with team members across all organizational levels.
  • Proficient in computer applications, including MS Office, with a typing speed of at least 40 words per minute.
  • Strong command of the English language, both written and verbal.
  • Ability to communicate with individuals from diverse socio-economic backgrounds.
  • Exhibit active listening skills and the ability to engage appropriately in conversations.
  • Maintain a professional demeanor and respect patient privacy.
  • Desire to enhance coding knowledge and skills.

  • Basic understanding of the reimbursement process is preferred.
