About the Role

We are seeking a highly organized and detail-oriented Front Desk Coordinator to join our Workplace Experience Team in our Madison, Wisconsin office. As a member of our team, you will play a critical role in delivering exceptional service to our employees, customers, and guests.

Key Responsibilities

  • Process incoming and outgoing packages and mail in a timely and efficient manner.
  • Work collaboratively with IT and HR to process shipments for new hires, terminations, and asset replacements.
  • Triage and respond to all assigned tickets in a professional and courteous manner.
  • Record all office-related expenses and reconcile in Expensify.
  • Manage the departments UPS account invoice processing and address issues with missing or delayed shipments through the UPS claims process.
  • Place orders for Workplace-related items, including catering, Amazon, and office supplies.
  • Demonstrate exceptional customer service skills and handle all reception situations with professionalism.
  • Work collaboratively with other teams on projects as needed, while maintaining a high level of productivity and efficiency.
  • Add new hires and suspend terminations in the Workplace Zendesk instance.
  • Listen to and redirect all incoming voicemail tickets.
  • Identify areas of process improvement and create action plans to enhance our operations.
  • Welcome visitors and deliver an extraordinary guest experience to all employees in-office.
  • Perform health and safety checks for employees and guests coming onsite.
  • Maintain the general cleanliness and appearance of the reception desk and adjacent areas.

Requirements

  • Must be able to work on-site in our Madison, Wisconsin office.
  • Minimum of 1 year experience in a fast-paced administrative role.
  • Ability to consistently deliver a high level of customer service.
  • Ability to multi-task and remain calm in high-stress situations.
  • Positive attitude and friendly disposition at all times.
  • Strong communication skills across employees at all levels within the organization.
  • Demonstrated ability to handle multiple tasks with little or no supervision.
  • Ability to triage and create sensible prioritization in order to continue to be effective.
  • A sense of humor and ability to strike up a conversation with anyone.
  • Professional attire and appearance at all times.
  • Strong computer skills, including Google Apps and Microsoft Office Suite.
