Job Summary:
Bloom Talent is seeking a highly skilled and experienced Executive Assistant to support our Founder/Managing Partner. This is a unique opportunity to join a dynamic and hardworking team of professionals who value discretion, professionalism, and attention to detail.
Key Responsibilities:
- Provide daily administrative support to the Founder & Managing Partner, including coordinating meeting schedules, arranging travel, and preparing agendas and meeting decks.
- Handle daily email correspondence, prioritize important messages, and ensure timely responses, acting as a point of contact between the Founder and internal or external parties.
- Track and manage ongoing projects and tasks to ensure they are progressing as planned, liaising with accountants to maintain records and updates.
- Manage personal investments and real estate affairs, including gathering investor communications and quarterly reports.
- Manage charitable activities and initiatives on behalf of the Founder, and assist with project management for residential properties.
- Provide ad hoc personal support, including scheduling appointments, making reservations, and processing identification and visa renewals.
Requirements:
- Proven 5+ years of experience as an Executive Assistant, ideally in the finance sector, with a high level of discretion and a preference for maintaining a professional relationship with the Founder.
- Excellent communication skills, both written and verbal, with a polished and professional demeanor, and the ability to handle accounts receivable/payable and general bookkeeping.
- Extremely detail-oriented and organized, capable of managing multiple priorities in a fast-paced environment, and comfortable with a mostly remote working relationship with the Founder and other team members.
- Direct and clear communication style, able to handle direct feedback and work independently without taking matters personally, and the ability to be available when needed outside of business hours.
