Job Summary

We are seeking a highly organized and detail-oriented Office Manager to join our team at Schiavone. The successful candidate will be responsible for providing administrative support to our project managers, engineers, and other field personnel.

Key Responsibilities
  • Manage payroll and ensure timely submission of timesheets and invoices
  • Coordinate and upload RFI's into PCM and email relevant individuals and agencies
  • Submit submittals and supporting documentation
  • Collect and file packing/delivery receipts
  • Provide administrative support to project managers, engineers, and other field personnel
  • Perform clerical duties, including answering phones, typing, faxing, and ordering office supplies
  • Open, sort, and distribute incoming and outgoing mail
  • Meet and greet visitors
  • Set up and coordinate meetings
  • Compose and distribute meeting agendas
  • Take meeting minutes
  • Order food
  • Enforce site safety at all times
  • Assist new hires with completing new hire paperwork
Requirements
  • High school diploma or equivalent required
  • 1-2 years of experience in an administrative role
  • Excellent organizational and communication skills
  • Ability to work in a fast-paced environment
  • Proficiency in Microsoft Office
