We are seeking an experienced Customer Service and Billing Specialist.

Job Summary:

The Customer Service and Billing Specialist is responsible for the daily billing processes, coverage of customer care duties as needed for the Customer Care team, and management of the sampling collateral in Columbus, MS.

No direct reports.

Key Responsibilities:

  • Processing of Daily Billing Documents: The Customer Service and Billing Specialist will be responsible for processing daily billing documents, ensuring accuracy and timeliness.
  • Create Daily Invoicing and Order Intake Dashboard Reports: The Specialist will create daily invoicing and order intake dashboard reports used by business and executive management to track sales and customer activity.
  • Completing Subcontract Transactions in SAP: The Specialist will complete subcontract transactions in SAP necessary for billing, ensuring compliance with company policies and procedures.
  • Reconciling Off-Site Warehouse Inventory: The Specialist will reconcile off-site warehouse inventory monthly, ensuring accuracy and minimizing discrepancies.
  • Management of Sampling Collateral: The Specialist will be responsible for the management of sampling collateral, including receiving and reconciling sampling collateral inventory, filling sample orders, and facilitating customer shipments daily.
  • Customer Care Duties: The Specialist will provide back-up to customer care colleagues when they are out of office, including receiving, processing, and owning customer purchase orders from the time of order entry to delivery of material.
  • Other Administrative Duties: The Specialist will assist with other administrative duties as assigned, including cycle count reconciliation, goods receipts for off-site warehouses, and direct shipments.

Required Knowledge/Skills/Abilities:

  • Strong Knowledge of Applicable Software: The Specialist should have strong knowledge of applicable software, including Excel spreadsheets and SAP programs to record and report information critical to managing sales data.
  • Excellent Communication Skills: The Specialist should have excellent written, verbal, and interpersonal communication skills to all levels of management.
  • Excellent Organizational Skills: The Specialist should have excellent organizational skills and attention to detail to prioritize tasks and manage multiple responsibilities.
  • Ability to Prioritize Tasks: The Specialist should be able to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
  • Ability to Act with Integrity: The Specialist should be able to act with integrity, professionalism, and confidentiality in all interactions with customers and internal partners.
  • Ability to Present Information: The Specialist should be able to effectively present information and respond to questions from managers and fellow employees.
  • Strong Analytical Skills: The Specialist should have strong analytical and problem-solving skills to define issues, collect data, establish facts, and draw valid conclusions.

Education and Experience:

  • High School Degree/GED: The Specialist should have a High School Degree or equivalent.
  • 3 Years' Experience: The Specialist should have 3 years' experience in customer service, sales, or supply chain.
  • SAP Experience Preferred: SAP experience is preferred but not required.

Physical Requirements:

  • Regularly Required to: The Specialist should be regularly required to stand, walk, sit, bend, kneel, squat, climb stairs, use hands to finger, handle, or feel, and reach with hands and arms.
