Job Overview:
- Operates under general oversight and is accountable for reviewing and validating documents, drafting standard correspondence, and organizing files.
- This role is subject to state and federal regulations as well as agency/institution policies.
- Evaluates documents such as applications, forms, vouchers, records, and reports for precision and thoroughness of information, ensuring adherence to laws and regulations, makes necessary amendments, and assigns file identifiers.
- Communicates with the submitting agency/institution or individual to gather further information or rectify inconsistencies in documents and issues notifications of acceptance or rejection.
- Investigates various data repositories and/or computer records to retrieve information and compiles data for reporting purposes.
- Establishes and maintains document files by updating and purging as necessary. Inputs data into the computer system and implements changes and/or corrections.
- Keeps an activity log and/or financial ledger and submits reports to the supervisor. Composes and types standard correspondence and form letters, may calculate rates, fees, taxes, assessments, and fines. Performs additional duties as assigned.
- Familiarity with record-keeping practices.
- Understanding of basic arithmetic.
- Proficiency in basic grammar.
- Competence in using computers and software applications.
- Ability to conduct research and compile data into report format.
- Capability to establish and maintain filing systems.
- Proficient in operating standard office equipment.
- Ability to analyze documents for compliance with rules, regulations, and procedures.
- Effective oral and written communication skills.
- Candidates must possess the formal education equivalent of a high school diploma and basic computer skills such as data entry.
- Candidates must be proficient in speaking and writing the English language.
- Other job-related education and/or experience may be considered in lieu of these basic requirements, except for certification or licensure requirements.
