Position Overview

The Radiology Appointment Coordinator is responsible for managing communication with both internal and external clients. This role involves scheduling, rescheduling, and confirming patient appointments for various radiological procedures using a computerized system. Attention to detail and the ability to multitask are essential, as is familiarity with medical terminology and radiology exams.

Key Responsibilities

  • Schedule and confirm appointments for a variety of imaging exams using a computerized scheduling system.
  • Handle incoming calls and make outgoing calls to patients regarding appointment details.
  • Continuously monitor and adjust the schedule to accommodate add-on appointments.
  • Initiate necessary protocols by transferring patients to the Assessment Coordinator or scheduling assessments for specific procedures.
  • Ensure that patient demographic and insurance information is accurate and complete.
  • Generate worklists by entering location codes.
  • Provide patients with comprehensive instructions regarding their appointments, including any necessary preparations.
  • Assist in managing duplicate accounts by submitting merge requests.
  • Communicate with imaging centers to address patient needs and case specifics.
  • Seek guidance from scheduling notes and coordinators as needed.
  • Attach relevant orders to patient files as required.
  • Manage scheduling blocks as assigned.
  • Review orders to confirm that all requested exams are scheduled.
  • Participate in training and mentoring new staff as requested.
  • Engage in team meetings and perform additional duties as assigned.

Qualifications

  • High School Diploma or equivalent is required.
  • A minimum of one year of experience in a medical setting is required.
  • Experience in the radiology or medical industry, or relevant certifications, is a plus.
  • Prior customer service experience is preferred.
  • Experience in medical scheduling is an advantage.

Physical Requirements

This position requires the ability to use hands for various tasks, reach with arms, and communicate effectively. The employee will frequently sit and must possess specific vision abilities, including close vision and the ability to adjust focus.
