Grants Accounting Coordinator

In alignment with the mission of Planned Parenthood of Central and Western New York (PPCWNY), the Grants Accounting Coordinator plays a vital role in preparing grant vouchers and collaborating with the Grants Financial Manager on various accounting responsibilities that support the Grants Team.

Key Responsibilities

  • Assists in the formulation of budgets for grants-funded and related program contracts, incorporating input from Program Managers and the Grants Financial Manager.
  • Prepares fiscal reports for grants (including claims for payment and vouchers).
  • Regularly reviews expenses funded by grants.
  • Supports the month-end process by preparing journal entries and reconciliations related to grants.
  • Ensures that grant purchases are accurately accounted for.
  • Assists with grant audits and reviews as required.
  • Acts as a backup for the Grants Financial Manager when necessary.
  • Reviews supporting documentation for grant claims to confirm that purchase requisitions, purchase orders, and vendor invoices are properly authorized and processed.
  • Conducts reconciliations for payroll expense reimbursements.
  • Assists with quarterly Time and Effort studies.
  • Supports the Grants Financial Manager in reviewing quarterly payroll allocations.
  • Participates in regular meetings related to grants, including the Grants Fiscal Reconciliation Team and others.
  • Identifies, recommends, and implements enhancements to current processes.
Additional Responsibilities
  • Provides support to other members of the Grants Team as needed and undertakes additional duties as assigned.
  • Engages in Planned Parenthood affiliate initiatives.
  • Demonstrates respect for all internal and external customers, acknowledging differences in backgrounds, lifestyles, viewpoints, and needs.
Requirements

Applicants must possess the following qualifications (or equivalent combination of education and experience):

Education-
  • Associate's degree in Accounting, Finance, or a related field is required.
  • Bachelor's degree is preferred.
Experience-
  • Two years of accounting experience is required, with a strong preference for non-profit and grants-specific accounting.
Knowledge, Skills, & Abilities-
  • General PC skills are necessary. Proficiency in Microsoft Excel and accounting software is required. Familiarity with Microsoft Word, PowerPoint, or similar applications is desirable.
  • Experience with grant fiscal reporting is preferred.
  • Experience in report writing software is a plus.
  • Ability to handle confidential information is essential.
  • Experience in non-profit organizations, government grants, and/or the healthcare industry is advantageous.
  • Excellent verbal and written communication skills, attention to detail, and critical thinking are required.
  • Must be highly adaptable, detail-oriented, and capable of working independently while adhering to standardized practices.
  • Ability to convey financial concepts to non-financial staff clearly and concisely.
  • Demonstrated ability to identify problems, gather data, establish facts, and draw valid conclusions.
  • Ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Must be able to work a flexible schedule and travel to various sites as needed.
  • Must possess reliable transportation and/or a valid driver's license that is not in jeopardy of being revoked.

Physical Requirements

Work Schedule This is a full-time position, requiring 40 hours per week; the regular schedule will typically be Monday to Friday, with occasional evenings and weekends.
Benefits & Compensation At PPCWNY, we are committed to equitable compensation practices and transparency. The pay for this position ranges from $22.42 to $25.96 per hour. Actual compensation will be determined based on experience and other factors permitted by law.
