Role Overview:
This is a full-time, hands-on position that involves supporting the company's landscape services for a variety of public and private clients. The individual in this role will be tasked with managing all procurement activities, specifically creating Purchase Orders related to job costs and sourcing bulk materials for maintenance and snow removal services. Establishing effective communication and relationships with vendors to secure optimal pricing for materials and supplies is essential.
Compensation: $55,000 - $65,000 annually, based on education and experience.
Benefits: We provide a comprehensive benefits package that includes paid time off, sick leave, health and dental insurance, and a 401(k) retirement plan.
Key Responsibilities:
- Act as the primary administrator for all landscaping, maintenance, and irrigation projects.
- Coordinate with Project Managers, Foremen, and Designers to ensure timely delivery of all necessary materials, equipment, and supplies to project sites.
- Generate and manage purchase orders for the landscaping, maintenance, and irrigation divisions.
- Conduct reconciliations of purchase orders, invoices, quotes, and estimates.
- Collect and verify packing slips and receipts for accuracy and completeness.
- Compile project documentation, including client sub-packets and other required materials.
- Input all invoices related to job expenses, approve them for payment, and forward to the accounting department.
- Engage with vendors to gather information regarding products or services, including pricing, availability, and delivery timelines.
- Collaborate with the Operations Manager to assess project needs, update records with necessary information, review bid proposals, and negotiate contracts within budgetary constraints.
- Maintain organized records of procurement activities, including purchased items, costs, delivery schedules, product quality, and inventory levels.
- Work alongside the Facilities Manager to manage and uphold DOT files for employees and fleet.
- Assist with additional tasks as assigned.
Qualifications:
Education: High School diploma or equivalent is required.
Experience: A minimum of 1 year of relevant work experience is required.
Specialized Skills:
- Strong attention to detail.
- Excellent communication and interpersonal skills.
- Customer service-oriented mindset.
- Ability to work collaboratively within a team.
- Proficient in Microsoft Office, particularly Excel and Google Sheets.
- Must be able to pass a pre-employment drug screening.
- Valid driver's license with a clean driving record.
- Strong organizational, multitasking, and business acumen skills.
This position does not have supervisory responsibilities.
