Job Summary

We are seeking a highly organized and detail-oriented Mailroom Coordinator to join our team at Canon Business Process Services. As a Mailroom Coordinator, you will be responsible for ensuring the smooth operation of our mailroom and providing exceptional customer service to our clients.

Key Responsibilities
  • Mail and Package Processing: Receive, sort, and deliver all incoming mail and packages according to assigned floors and within established time frames.
  • Mail Preparation: Wrap, seal, weigh, affix postage, and dispatch all outgoing mail and packages in accordance with postal regulations.
  • Specialized Mail Services: Prepare special outgoing inter-office pouches sent to client affiliates as scheduled (if applicable).
  • Package and Overnight Delivery: Package and process outgoing overnight items, i.e., Federal Express, UPS, etc., to meet client and vendor deadlines.
  • Logistics and Inventory Management: Log outgoing and incoming items as required and review for accuracy and completeness.
  • Supply Management: Organize and distribute supplies to clients; verify and log orders upon delivery; monitor inventory of copy supplies, stock paper, and toner, and keep the supply area neat.
  • Administrative Support: Handle items for distribution to a segment of or all of client employees, affiliates, dealers, etc.
  • Copying and Faxing: Estimate runtime on small to medium photocopy jobs; check all copies produced for quality and accuracy; produce bound copies of work when requested; deliver and pick up copy jobs.
  • Maintenance and Troubleshooting: May provide minor maintenance of photocopy machines, such as solving paper jams, placing service calls, and routine cleanings.
  • Facsimile Services: Operate facsimile machines; send and receive facsimiles; keep complete and accurate logs of incoming and outgoing facsimiles.
  • Additional Responsibilities: May perform other administrative duties, such as inserting, copying, and photocopying, as needed.
Requirements
  • Education: High school diploma or equivalent.
  • Experience: 5+ years' experience working in a mailroom or professional office environment.
  • Skills: Thorough knowledge of all shipping procedures; ability to perform all necessary computer skills required; ability to perform the functions of all equipment and systems (fax, scanner, metering, stamping, tracking systems, photo-copying, color copying, etc.).
  • Personal Qualities: Excellent customer service, professional attitude, and appearance are a must; ability to work overtime and meet deadlines.
