Healthcare Operations Manager

Position Overview
The role is focused on managing the processes related to donor reception and registration within a medical setting.
- Oversee the reception and clinical staff to ensure efficient operations.
- Collaborate with management to enhance daily center functions, including staff development, process evaluation, and troubleshooting to optimize donor flow.
You will report directly to the Center Manager.
Key Responsibilities
- Ensure adherence to Standard Operating Procedures (SOPs) while supervising daily operations in reception, medical, and customer service areas. Provide clear guidance, conduct team meetings, and communicate performance expectations effectively. You may also be required to perform tasks in various work areas. Address employee relations issues and escalated donor concerns as necessary.
- Work alongside other management and supervisory personnel to facilitate donor movement throughout the center, minimizing wait times and improving processing efficiency.
- Supervise the activities within reception and medical work areas to guarantee proper management of supplies and materials. Organize and deliver training for medical and reception staff.
- Ensure timely repair or replacement of equipment, maintaining updated status and documentation regularly.
- Maintain adequate staffing levels in reception and medical areas to support operations based on center size, structure, and donor flow. Create schedules for direct reports in accordance with company policies. Monitor attendance, time card procedures, and overtime usage.
- Conduct investigations, engage in root cause analysis, and formulate recommendations for process enhancements.
- Participate in performance evaluations and provide constructive feedback to staff. Document corrective actions as needed with management's guidance.
- Assist management in the recruitment and selection of operational staff for the center.
- Act as a liaison for the Center Medical Director and Divisional Medical Director, coordinating relevant activities.
- Ensure compliance with all Standard Operating Procedures (SOPs), company policies, and applicable regulations.
- Participate in selected leadership meetings and present relevant medical topics. Conduct and document monthly medical meetings.
- Accurately record donor information in the electronic donor management system as outlined in SOPs.
- Provide medical oversight for center specialty programs and employee health initiatives. Understand relevant policies and procedures associated with specialized programs.
- Maintain a clean and efficient work environment, ensuring availability of necessary operating supplies and forms. Adhere to all Health Safety and Environmental (HSE) and Occupational Safety and Health Administration (OSHA) policies. Conduct routine audits of internal procedures and documentation as required. Promote safety in all actions.
- Foster a workplace free from harassment or intimidation. Report any incidents of harassment to management and Human Resources immediately.
- Uphold a professional image and maintain confidentiality of all company records and information at all times.
- Be prepared to be cross-trained in various technical areas and functions to meet business needs.
- Bilingual skills may be advantageous to meet the needs of the business.
- Perform additional job-related duties as assigned.
Qualifications
Education
- Active state licensure in a relevant medical field (e.g., paramedic, nursing, physician assistant) OR
- Completion of a foreign medical school with current licensure as a physician or certification as an EMT in the state.
Experience
- Previous supervisory experience in a regulated environment is strongly preferred.
Working Conditions
- Collaborate with internal contacts to reach solutions.
- Make decisions that moderately impact the immediate work unit.
- Ability to interact with customers and observe equipment operations.
- Perform tasks while standing and walking for extended periods.
- Assess skin and other abnormalities through visual and tactile examination.
- Engage in physical activities such as reaching, bending, kneeling, and manual dexterity.
- Occasionally lift and carry items weighing up to 25 pounds.
- Work in a fast-paced environment with frequent interruptions.
- Exposure to hazardous chemicals, extreme temperatures, and bloodborne pathogens may occur.
- Personal Protective Equipment (PPE) is required in specific tasks or areas.
- Availability for overtime and extended hours to support operational needs.
