Position Overview

The role is pivotal in managing the reception and registration of both new and returning donors within the medical facility.

  • Oversee the reception and medical personnel.
  • Support management in the daily operations of the center, focusing on staff development, process evaluation, and enhancement, as well as troubleshooting and managing donor flow.

You will report directly to the Center Manager.

Key Responsibilities

  • Ensure compliance with Standard Operating Procedures (SOPs) while supervising daily reception, medical, and customer service activities. Provide clear guidance, conduct team meetings, and communicate performance expectations effectively. You may also be required to perform tasks in various work areas. Address employee relations issues or escalated donor concerns as they arise.
  • Collaborate with management and supervisory teams to facilitate donor movement throughout the center, aiming to minimize wait times and streamline processing.
  • Supervise activities in reception and medical work areas to guarantee the proper management of supplies and materials. Organize and deliver training for medical and reception staff.
  • Ensure timely repair or replacement of equipment, regularly updating its status and documentation.
  • Maintain adequate staffing levels in reception and medical areas to support operations based on center size, structure, and donor flow. Create schedules for direct reports in accordance with company policies. Monitor attendance, time card procedures, and overtime usage.
  • Conduct investigations, engage in root cause analysis, and formulate recommendations for process improvements.
  • Participate in performance evaluations and provide constructive feedback. Document verbal and written coaching as necessary, under management's guidance.
  • Assist management in the recruitment and selection of operational staff for the center.
  • Act as a liaison for the Center Medical Director and Divisional Medical Director, coordinating their activities.
  • Ensure adherence to all Standard Operating Procedures (SOPs), company policies, and regulatory requirements.
  • Comply with all relevant local, state, and federal regulations, including but not limited to: ADA, Civil Rights, EEOC, FDA, GHA, HIIPA, and OSHA.
  • Attend selected Center Leadership meetings and present relevant medical topics. Conduct and document monthly medical meetings.
  • Ensure accurate recording of donor information in the electronic donor management system as per SOPs.
  • Provide medical oversight and guidance for center specialty programs and employee health initiatives. Understand policies related to hyper immune programs at the center, as applicable.
  • Maintain a clean and efficient work environment, ensuring that sufficient operating supplies and forms are available. Adhere to all Health Safety and Environmental (HSE) and Occupational Safety and Health Administration (OSHA) policies and procedures. Conduct routine audits of internal procedures and documentation as necessary. Promote safety in all actions.
  • Foster a work environment free from harassment or intimidation. Report any incidents of harassment to management and Human Resources immediately.
  • Uphold a professional image and maintain confidentiality of all company records and information at all times.
  • Be prepared to be cross-trained in various technical areas and functions to meet business needs.
  • Bilingual skills may be required, at the discretion of the organization, to meet operational needs.
  • Perform other job-related duties as assigned.

Qualifications

Education

  • Active state licensure from a paramedic, nursing, physician assistant, chiropractic, naturopathic training program, or medical school required OR
  • Completion of a foreign allopathic or osteopathic medical school, provided that the individual is currently licensed as a physician or certified as an EMT in the state.

Experience

  • Previous supervisory experience in a regulated environment is strongly preferred.

  • Ability to interact with customers and observe equipment operation.
  • Frequently perform tasks while standing and walking.
  • Assess and examine skin and other abnormalities through sight, touch, and smell.
  • Reach, bend, kneel, and demonstrate a high level of manual dexterity.
  • Occasionally lift and carry items weighing up to 25 pounds.
  • Work in a fast-paced environment with frequent interruptions.
  • Regular exposure to hazardous chemicals, extreme temperatures, and bloodborne pathogens.
  • Required to wear Personal Protective Equipment while performing specific tasks or in designated areas.
  • May need to work overtime and extended hours to support operational needs.
