Job Overview

Position Summary:

In alignment with our mission to enhance the quality of life for the Residents we support, the Financial Operations Manager oversees the daily financial activities of the facility. This includes maintaining accurate financial records, managing billing processes, and handling financial transactions across various accounts. The role also involves administering the Resident trust fund, managing petty cash, providing billing and collection services, and operating the Resident banking system.

Key Responsibilities:

  • Oversee the management of the patient trust fund within the financial system. Facilitate fund requests from residents, process deposits from residents and their families, ensure monthly account reconciliation, and issue quarterly statements to residents.
  • Execute monthly adjustments to Resident private accounts.
  • Prepare and distribute monthly cash allowances to residents.
  • Generate and send monthly billing statements to residents.
  • Assist Residents in completing medical assistance applications and verifying eligibility. Manage Medicaid applications, renewals, and resolve any related issues. Ensure appropriate Medicaid letters are delivered to patients or responsible parties.
  • Engage with Residents and families regarding billing inquiries. Clarify insurance coverage and address billing questions and concerns.
  • Communicate any changes in resident status affecting billing within the financial system. Obtain pre-authorizations for treatment as required by Medicaid or other insurance providers.
  • Complete representative payee forms for Residents unable to do so independently.
  • Coordinate the closure of accounts for deceased Residents, including managing trust accounts, death certificates, life insurance claims, funeral expenses, and final bills.
  • Establish and maintain an organized filing system for the Financial Operations department.
  • Review weekly accounts receivable and payable with the Administrator or designated representative.
  • Manage the collection and analysis of aging/past due accounts. Develop strategies to minimize delinquent accounts.
  • Send communication letters to all past due accounts on a monthly basis. Actively pursue the collection of outstanding balances for private pay or patient pay amounts.
  • Ensure adherence to established infection control and safety practices at all times. Follow safety protocols when performing tasks and utilizing equipment and supplies.
  • Maintain the comfort, privacy, and dignity of Residents, interacting with them in a manner that conveys warmth, respect, and fosters a caring environment.
  • Deliver quality customer service to residents, families, colleagues, and vendors in a manner that ensures satisfaction.
  • Communicate effectively and tactfully with Residents, visitors, families, peers, and supervisors.
  • Uphold a high level of confidentiality in accordance with HIPAA regulations, protecting sensitive information by sharing it only on a need-to-know basis.
  • Respond promptly and courteously to call lights when present in Guest care areas.
  • Report all Resident concerns to the appropriate department head.
  • Participate in departmental meetings and training sessions as directed. Engage in continuing education as required for maintaining professional certification or licensure (if applicable).
  • Understand and adhere to Infection Control protocols, including hand hygiene, isolation procedures, and compliance with OSHA standards in the workplace.
  • Promote and protect Resident Rights by assisting Residents in making informed decisions, treating them with dignity and respect, safeguarding their personal belongings, reporting any suspected abuse or neglect, and supporting independent expression and decision-making in accordance with applicable laws and regulations.
  • Perform additional tasks as required.

Supervisory Responsibility:

This position includes supervisory responsibilities.

Qualifications:

  • Bachelor's degree in Accounting, Finance, or a related field preferred, or one to two years of relevant experience and/or training.
  • Minimum of one year of experience in an Accounting role.

Skills and Competencies:

  • Knowledge of various payer sources (Medicare, Medicaid, private insurance).
  • Effective communication skills to work with residents and families on insurance billing matters.
  • Ability to manage and handle deposits for the organization.
  • Proficiency in using personal computers, particularly business software such as Microsoft Office.
  • Ability to pursue collection matters with patients, families, or agencies.
