Role Summary: We are currently seeking a Full-Time Administrative Manager. This position is crucial for overseeing administrative functions across all clinic locations, which includes direct oversight of Office Managers and billing departments, as well as indirect supervision of support personnel. The Administrative Manager will also handle several key staff functions, such as Quality Improvement, Training, Safety/Risk Management, and Infection Control. In collaboration with the Corporate Compliance Officer, this role ensures adherence to CARF, BCBS, and State of Michigan standards and regulations.

Work Schedule: Monday - Friday, 9:00 am - 5:30 pm

Compensation: The salary range for this role is $60,000 - $80,000, determined by various factors including education, experience, and certifications.

Qualifications:

  • At least three years of supervisory experience
  • Three to five years of experience in outpatient mental health and substance abuse administration
  • Preferred: Business degree
  • Excellent written and verbal communication skills
  • Familiarity with CARF and state regulatory standards, as well as federal and state employment laws
  • Ability to positively engage with clinical, support, and administrative staff, as well as community members
  • Willingness to travel between clinic locations

Key Responsibilities:

Financial Management:

  • Collaborate with the Regional Operations Director on pay scales and salary adjustments
  • Assist the Management Team in analyzing primary expenses for clinic operations
  • Work with the Regional Operations Director and Financial Director to establish fiscal control policies
  • Identify and address financial inefficiencies within the clinic
  • Regularly meet with billing departments to ensure operational efficiency and enhance billing processes
  • Approve payroll for direct reports through the payroll system

Management Duties:

  • Supervise and train Office Managers to promote operational efficiency
  • Oversee training for new support staff
  • Manage daily operations of support staff
  • Develop and implement standardized procedures for front office staff to enhance productivity
  • Participate in Executive Committee and Clinical Standards meetings as necessary
  • Investigate and address complaints and incidents to mitigate corporate liability
  • Orient new staff on financial rights and organizational policies
  • Act as a backup for the Administrative Assistant in documenting meeting minutes
  • Delegate tasks and ensure completion
  • Conduct evaluations for Office Managers
  • Facilitate resolution of inter-departmental issues
  • Collaborate with Human Resources on staffing, training, and employee relations
  • Assist the Administrative team in audit preparations
  • Keep the Regional Operations Director informed of significant clinic developments

Administrative Duties:

  • Represent support staff on the Peer Utilization Review Committee
  • Assist in quality improvement initiatives and maintain monitoring programs
  • Coordinate surveys and data collection for client satisfaction
  • Generate reports and set goals for process improvement
  • Develop objectives with the Regional Operations Director for facility maintenance and improvement
  • Promote quality care and efficient service delivery
  • Supervise daily operations and evaluate developmental opportunities
  • Contribute to the development of clinic policies and procedures
  • Engage with community leaders to assess local needs
  • Participate in Executive and Clinical Staff meetings as required
  • Oversee office assignments for optimal space utilization
  • Compile monthly productivity reports
  • Ensure compliance with HIPAA and accreditation standards in medical records management
  • Support marketing initiatives when feasible
  • Train staff on client rights
  • Serve as the point of contact for client concerns

Safety Responsibilities:

  • Train staff on safety protocols
  • Manage safety violations and complete necessary inspections
  • Lead monthly Safety Committee meetings
  • Conduct safety drills as required
  • Manage critical incident reports
  • Report liability issues to the Corporate Compliance Officer

Compliance and Records Management:

  • Assist in compliance with CARF, HIPAA, and other regulatory standards
  • Participate in accreditation audits
  • Safeguard medical records and electronic communications
  • Maintain the Risk Management program

Electronic Medical Records Management:

  • Serve as the champion for EMR systems
  • Provide training for all staff on EMR systems
  • Act as liaison with EMR vendors
  • Address staff inquiries regarding EMR
