Job Overview

Position Title: Administrative Manager

Company Overview: At Oakland Psychological Clinic, P.C. (OPC), we are dedicated to fostering optimal mental health and providing unwavering support to our clients and team members alike.

Position Summary: We are currently seeking a Full-Time Administrative Manager to oversee administrative functions across our clinic locations. This role involves direct supervision of Office Managers and billing departments, as well as indirect oversight of support staff. The Administrative Manager will also be responsible for various staff functions, including Quality Improvement, Training, Safety/Risk Management, and Infection Control. Compliance with industry standards and regulatory guidelines is a critical aspect of this position.

Work Schedule: Monday - Friday, 9:00 am - 5:30 pm

Compensation: The salary range for this role is $60,000 - $80,000, determined by factors such as education, experience, and certifications.

Qualifications:

  • Minimum of three years in a supervisory role
  • Three to five years of experience in outpatient mental health and substance abuse administration
  • Preferred: Business degree
  • Excellent written and verbal communication skills
  • Familiarity with CARF and state regulatory standards, as well as federal and state employment laws
  • Ability to foster positive interactions with clinical, support, and administrative staff
  • Willingness to travel between clinic locations

Key Responsibilities:

Financial Oversight:

  • Collaborate with the Regional Operations Director on pay scales and raises
  • Assist in expense analysis for clinic purchases
  • Develop fiscal control policies in conjunction with the Management Team
  • Identify financial improvement opportunities within the clinic
  • Regularly meet with billing departments to enhance operational efficiency
  • Approve payroll for direct reports

Management Duties:

  • Supervise and train Office Managers to ensure efficient operations
  • Oversee training for new support staff
  • Manage daily operations of support staff
  • Implement uniform functions for front office staff to optimize efficiency
  • Coordinate with various committees and meetings as required
  • Address complaints and incidents to mitigate corporate liability
  • Orient new staff on organizational policies and procedures
  • Delegate tasks and ensure completion
  • Conduct evaluations for Office Managers
  • Mediate inter-departmental issues
  • Collaborate with Human Resources on staffing and training matters
  • Prepare for audits with the Administrative team
  • Keep the Regional Operations Director informed of significant developments

Administrative Functions:

  • Represent support staff on relevant committees
  • Assist in quality improvement initiatives
  • Coordinate data collection and client satisfaction surveys
  • Develop objectives with the Regional Operations Director for facility improvements
  • Promote quality care and efficient staff performance
  • Monitor operational development opportunities
  • Engage with community leaders to assess local needs
  • Compile monthly productivity reports
  • Ensure compliance with HIPAA and accreditation standards

Safety Responsibilities:

  • Train staff on safety protocols
  • Manage safety violations and inspections
  • Chair Safety Committee meetings
  • Conduct safety drills as required

Additional Responsibilities:

  • Maintain compliance with CARF, HIPAA, and other regulatory standards
  • Promote safeguards for medical records and electronic communications
  • Champion Electronic Medical Records systems and provide necessary training
