About Us: At Oakland Psychological Clinic, P.C. (OPC), we prioritize optimal mental health and unwavering support for our clients and team members alike.

Role Summary: We are looking for a dedicated Administrative Manager to oversee administrative functions across our clinic locations. This role involves direct oversight of Office Managers and billing departments, as well as indirect supervision of support staff. The Administrative Manager will also handle various staff functions, including Quality Improvement, Training, Safety/Risk Management, and Infection Control. Collaborating with the Corporate Compliance Officer, this position ensures adherence to industry standards and regulatory guidelines.

Work Schedule: Monday - Friday, 9:00 am - 5:30 pm

Compensation: The salary range for this role is $60,000 - $80,000, influenced by factors such as education, experience, and certifications.

Qualifications:

  • At least three years of supervisory experience
  • Three to five years of experience in outpatient mental health and substance abuse administration
  • Preferred: Business degree
  • Excellent written and verbal communication skills
  • Familiarity with CARF and state regulatory standards, as well as federal and state employment laws
  • Ability to foster positive interactions with clinical, support, and administrative staff
  • Willingness to travel between clinic locations

Key Responsibilities:

Financial Oversight:

  • Collaborate with the Regional Operations Director on pay scales and salary adjustments
  • Assist in expense analysis for clinic operations
  • Work with management to establish fiscal control policies
  • Identify areas for financial improvement within the clinic
  • Regularly meet with billing departments to enhance operational efficiency
  • Approve payroll for direct reports

Management Duties:

  • Supervise and mentor Office Managers for optimal clinic performance
  • Oversee training for new support staff
  • Manage daily operations of support staff
  • Implement and monitor standardized procedures for front office staff
  • Participate in Executive Committee and Process Improvement Group meetings
  • Address complaints and incidents to mitigate corporate liability
  • Conduct orientations for new staff on policies and procedures
  • Delegate tasks and ensure completion
  • Conduct performance evaluations for Office Managers
  • Facilitate communication between departments
  • Collaborate with Human Resources on staffing and training needs
  • Prepare for audits with the administrative team
  • Keep the Regional Operations Director informed of significant clinic developments

Administrative Functions:

  • Represent support staff on the Peer Utilization Review Committee
  • Assist in quality improvement initiatives
  • Coordinate data collection and client satisfaction surveys
  • Set goals for process improvement functions
  • Develop objectives with the Regional Operations Director for facility maintenance
  • Promote quality care and efficient staff operations
  • Monitor developmental opportunities with the management team
  • Contribute to policy and procedure development
  • Engage with community leaders to assess local needs
  • Compile monthly productivity reports
  • Ensure compliance with HIPAA and accreditation standards in medical records

Safety Management:

  • Train staff on safety protocols
  • Manage safety violations and inspections
  • Lead monthly Safety Committee meetings
  • Conduct safety drills as required
  • Address liability issues with the Corporate Compliance Officer

Additional Responsibilities:

  • Champion Electronic Medical Records (EMR) systems
  • Provide training for staff on EMR
  • Act as liaison with EMR vendors
